Full Job Description

Capital Careers is an established Registered Training Organisation that has been delivering vocational education and training since 1997.

We are looking for an energetic, organised and customer-focused Student Services & Administration Coordinator to join our team in Parramatta.

This role would suit an early-career professional with approximately 1–2 years of experience in administration, customer service, education or a similar environment who is looking for a role with variety, responsibility and the opportunity to grow.

Previous RTO experience would be advantageous, but it is not essential. We are particularly interested in finding someone with excellent communication skills, strong attention to detail, initiative and a positive can-do attitude. Training in our RTO systems, processes and compliance requirements will be provided.

About the role

You will be one of the key points of contact for our students throughout their journey with Capital Careers and will support the day-to-day administration of the organisation.

The role combines student services, administration, reception, stakeholder communication and operational support.

Your responsibilities will include:

Providing professional and friendly support to current and prospective students
Responding to telephone, email and face-to-face enquiries
Managing reception and day-to-day administrative activities
Supporting student enrolments and maintaining accurate student records
Keeping the student management system accurate and up to date
Liaising with trainers, students and external stakeholders
Following up students and outstanding administrative requirements
Assisting with course administration, documentation and compliance activities
Supporting efficient administrative systems and processes
Assisting the organisation to maintain compliance with the Standards for RTOs 2025
Supporting social media and general marketing activities where required
Identifying opportunities to improve administrative processes
Undertaking other administration and operational duties as required

About you

We are looking for someone who:

Has approximately 1–2 years of experience in administration, customer service or a similar role
Has excellent verbal and written communication skills
Is confident communicating with students, customers and colleagues
Is professional, reliable and well presented
Has strong attention to detail
Is organised and able to manage multiple priorities
Has good time-management skills and can meet deadlines
Is comfortable using technology and learning new systems
Has good Microsoft Office skills
Takes ownership of tasks and follows them through to completion
Enjoys solving problems and improving the way things are done
Has a positive, practical and can-do attitude
Can work both independently and as part of a small team
Has a genuine commitment to providing excellent customer service

Desirable

Experience in any of the following would be advantageous, but is not essential:

Registered Training Organisations or education providers
Student administration
Customer service
CRM or student management systems
Social media platforms
Education or training compliance
