We are seeking an experienced and highly organised Project Administrator to join our team and provide essential administrative support to our project managers and site teams.
About the Role
As a Project Administrator, you will play a key role in ensuring our projects run efficiently by coordinating documentation, schedules, procurement, and communication between clients, suppliers, subcontractors, and project teams.
Key Responsibilities
- Provide administrative support across multiple construction and renovation projects.
- Coordinate project schedules, meetings, and site appointments.
- Prepare and maintain project documentation, including contracts, quotations, purchase orders, variations, invoices, and progress claims.
- Liaise with clients, subcontractors, suppliers, and project managers regarding project requirements and timelines.
- Track project milestones and assist in monitoring budgets and project costs.
- Process supplier invoices and maintain accurate financial and project records.
- Coordinate material orders and monitor deliveries to project sites.
- Prepare reports, meeting minutes, and project updates.
- Maintain electronic and hard-copy filing systems.
- Assist with compliance documentation, permits, insurances, and workplace health and safety records.
- Support project managers to ensure projects are delivered on time and within budget.
About You
To be successful in this role, you will have:
- Previous experience as a Project Administrator within the construction, renovation, or building industry.
- Strong knowledge of construction project administration processes.
- Excellent organisational and time management skills.
- High attention to detail and the ability to manage multiple projects simultaneously.
- Excellent written and verbal communication skills.
- Strong computer skills, including Microsoft Office (Word, Excel, Outlook) and project management software.
- Experience preparing project documentation and coordinating subcontractors.
- Ability to work independently while contributing effectively within a team.
- A proactive attitude with strong problem-solving abilities.
Desirable
- Certificate IV, Diploma, or Bachelor's qualification in Business Administration, Project Management, Construction Management, or a related discipline.
- Experience using construction management software such as Evolution, FMweb, Xero, Stream, etc.
- Knowledge of Australian construction documentation and WHS requirements.
