What does the job look like?

As a Document Controller, you will play a key role in maintaining the integrity, accuracy and governance of critical HR documentation across multiple systems. You will be responsible for coordinating document control activities, ensuring documents remain compliant, accessible and up to date throughout their lifecycle.

A key focus of the role will be supporting the transition of HR documentation from SharePoint to NovaCore, maintaining document registers, managing review cycles with subject matter experts, and ensuring adherence to document governance standards. You will also support Learning Management System administration, stakeholder enquiries, reporting activities and system access management.

This role is onsite based out of our HQ in Essendon Fields (VIC) and a 12 Month Fixed Term Contract.

Other duties and responsibilities include but are not limited to:

Manage document control processes across HR policies, procedures, SOPs, guides and training materials.
Maintain document registers and ensure all controlled documents are current, compliant and appropriately versioned.
Coordinate document reviews, approvals and publication activities with key stakeholders.
Support the migration of HR documentation from SharePoint to NovaCore.
Monitor document review cycles and ensure timely completion of document updates.
Maintain content accuracy and governance across multiple document management platforms.
Support internal and external audit requirements by providing document and compliance records.
Assist with data cleanses, reporting and system improvement initiatives.
Manage stakeholder enquiries relating to documentation, systems and processes.
Support Learning Management System administration and learner record accuracy.

Are you the one?

You're a highly organised and detail-oriented Document Controller who thrives in structured environments and enjoys maintaining accurate, compliant and accessible documentation. You understand the importance of governance, version control and process compliance and are confident working across multiple systems while partnering with stakeholders to ensure information remains current and fit for purpose.

The ideal candidate can demonstrate:
Minimum 2 years' experience in a Document Controller, Records Management or similar document governance role.
Experience managing controlled documents within an ISO-certified quality management system.
Experience using document management systems such as NovaCore, M-Files, SuiteFiles or similar.
Strong understanding of document lifecycle management, version control and document governance principles.
Experience coordinating document reviews, approvals and compliance requirements.
Exposure to SharePoint administration and document migration projects.
Strong stakeholder engagement and communication skills.
High attention to detail and ability to manage multiple priorities and deadlines.
Advanced Microsoft Office skills, particularly Word, Excel, SharePoint and Teams.
Experience within a regulated, quality-focused or compliance-driven environment highly regarded.
Exposure to Learning Management Systems or training documentation administration advantageous.
