What does the job look like?
This is a max-term 12-month HR Administrator opportunity.
As an HR Administrator, you’ll maintain accurate HR documentation, records and systems. You will assist with the Learning Management System administration, including responding to enquiries and supporting learner record accuracy. You will also support document control activities, with a key focus on transitioning of HR documentation from SharePoint to NovaCore, maintaining content across multiple platforms and monitoring document review cycles with SMEs. In addition, you will provide general administrative support, including assisting with internal communications, preparing reports and managing system access.
This role is onsite based out of our HQ in Essendon Fields (VIC)
Other duties and responsibilities include but are not limited to:
Maintaining document registers and ensuring all HR resources are current and compliant
Supporting data cleanses, system enhancements, and reporting activities
Managing shared inboxes and stakeholder enquiries within agreed timeframes
Assisting with internal career communications and advertising
Coordinating document control processes including SOPs, guides, and training materials
Supporting audits and preparing required documentation
Providing administrative and coordination support for HR projects
Playing a key role in document governance across multiple platforms during system transitions
Are you the one?
You’re a proactive, detail-oriented administrator who thrives in a structured, process-driven environment. You enjoy working across systems, engaging with stakeholders, and ensuring information is accurate, accessible, and compliant.
The ideal candidate can demonstrate:
A tertiary qualification or equivalent experience in HR Administration
A minimum of 2 years’ experience in document control
Experience in an ISO certify quality management system (Document Management System e.g. NovaCore, M-Files, SuiteFiles)
A minimum of 2 years of experience in Learning Management System Administration
Proficiency in Interaction Learning Management Systems
Excellent communication skills, both written and verbal, with the ability to communicate effectively at all organisational levels.
Exceptional organisational and time management skills, capable of handling multiple tasks and deadlines simultaneously.
Proficiency in Microsoft Office Suite - Word, Excel, SharePoint, Outlook and Teams.
Strong analytical and problem-solving skills, with the ability to make data-driven decisions.
High level of discretion and ability to maintain confidentiality in handling sensitive HR information.
