We are currently seeking a First Peoples Program Community Events Coordinator to join our team.

Job Description

The Role

The First Peoples Community Events Coordinator position reports into the First Peoples Program Project Coordinator with a dotted line to the Executive Lead for First Peoples Programs. Part of this role will coordinating operational and logistical delivery of the First Peoples’ Community gatherings, working closely with internal stakeholders, community partners, contractors and suppliers to support culturally safe, well organised and impactful events.

Key Responsibilities

Coordinate event logistics including venues, travel, accommodation, catering, accessibility requirements and participant communications.
Support procurement and coordinate contractors, suppliers and service agreements.
Coordinate and support Oxfam volunteers and events staff to support the delivery of First Nations events, including briefings, and capturing documentation of all events.
Support events communications, invitations, registrations and logistical correspondence, and on the day scheduling.

Maintain event planning, resource allocation, risk documentation and online project management tools.

Provide on-site coordination and support during delivery of the First Peoples’ Community events.

Desired Skills and Experience

Essential:

An understanding of First Nations communities and experience fostering collaborative relationships.
Flexibility in working to support colleagues and other areas of the organisation in delivery of agreed outcomes.
Commitment of Oxfam’s purpose, culture, values and ways of working.
High level of computer literacy, particularly Microsoft Office.
Proven participation in cultural awareness training.
Experience using project management tools and coordinating or managing event volunteers.
Demonstrated experience working collaboratively with external suppliers to deliver project milestones.
Strong qualifications in Events Management, Project Management or equivalent relevant working experience supporting event logistics, preferably large-scale or mass participation events.

A little about you (Key Selection Criteria)

Proven expertise in leading events logistic tasks such booking venues, event staff accommodation, flights, event vehicles and catering.

Proven experience supporting procurement processes for operational goods and services, including overseeing the coordination and monitoring of service agreements with external suppliers and contractors.

Keen interest and understanding of best approach for community activation event plans as determined by First Peoples’ Programs and community partners.

Exposure working with external agencies contributing to efficient management of team administration, including updating cross functional systems and processes, meeting minutes and invoice management.
