About the Role:
The purpose of the Centre Administrator - Administrative Officer position is to coordinate and deliver high-quality administrative support that enables the Australian Research Council (ARC) Centre of Excellence for Quality Work in a Digital Age (QWIDA) to operate effectively. Led by Curtin University, QWIDA is a nationally significant research centre, and this role will play a central part in supporting its day-to-day administration, operations and stakeholder engagement.
As the main point of contact for the Centre, you will be responsible for a broad range of general support and administrative activities that contribute to the Centre’s operational effectiveness. This includes providing executive support to the Centre Director and Chief Operating Officer, coordinating governance and committee administration, supporting purchasing and finance processes, assisting with event delivery, and managing visitor and travel logistics.
As a foundational appointment in the Centre’s first year, this role offers a unique opportunity to help shape the Centre’s operational framework from the ground up. You will work closely with the Centre Director, Chief Operating Officer and the broader QWIDA community across multiple universities and partner organisations to establish effective systems, processes and ways of working that support the Centre's successful establishment and ongoing operations.
Your responsibilities will include:
- Act as the first point of contact for the Centre, managing shared inboxes, visitor enquiries, correspondence and information distribution in a professional and timely manner.
- Establish, maintain and continuously improve efficient administrative processes, records, databases, registers and shared information repositories that support the Centre’s day-to-day operations.
- Provide executive and administrative support to the Centre Director and Chief Operating Officer, including diary management, meeting coordination, preparation of correspondence, travel arrangements and the timely escalation of critical information and developments.
- Coordinate governance and committee administration, including meeting schedules, agendas, minutes, briefing papers, reports, action registers, appointment records and the distribution of documentation.
- Undertake initial research, data gathering and information collation to support Centre activities, projects, reporting requirements and discrete administrative initiatives.
- Provide administrative and logistical support for Centre projects, internal events and visiting researchers, including room bookings, venues, catering, campus access, suppliers, promotional activities, IT provisioning and induction materials.
- Coordinate purchasing, procurement, invoices, equipment, stationery, physical resources and maintenance requirements in line with University procedures and relevant financial delegations.
- Arrange and coordinate travel for Centre staff and visitors in liaison with the University’s Travel Team, ensuring all details are accurate and comply with Curtin’s Travel Procedure.
- Liaise with Centre stakeholders and University functional areas including Human Resources, Finance, IT, Properties and Corporate Relations to ensure administrative, operational and project activities are completed effectively.
- Provide guidance to other administrative or clerical staff as required, and undertake other reasonable duties consistent with the role’s purpose and responsibilities.
