n. In this pivotal role, you'll be at the centre of the action, supporting day-to-day operations, coordinating key activities, and helping our teams deliver exciting and meaningful defence projects. Key Responsibilities
- Create and process purchase orders and supplier invoices.
- Investigate and resolve invoice discrepancies to support timely payment of suppliers.
- Manage office and site consumables, supplies and equipment.
- Provide general administrative support to project and management teams.
- Coordinate employee medicals, vaccinations and project related appointments.
- Arrange travel, accommodation, transportation, and furniture requirements for employees and rental properties.
- Support the management of employee accommodation, including inspections and coordination with stakeholders.
- Coordinate onboarding and training bookings for new employees.
- Schedule and monitor mandatory training requirements, ensuring compliance and completion before expiry dates.
- Maintain training records and support the organisation of individual and group training sessions.
- Maintain accurate spreadsheets, databases, personnel records and administrative documentation.
- Liaise with Project Managers, Supervisors and the People & Culture team to support operational and workforce requirements.
- Ensure all records are maintained in a timely, accurate, and confidential manner.
To be successful in this role, you will have:
- Previous experience in an Office Administrator, Site Administrator or similar administrative role.
- Strong organisational and time-management skills with the ability to manage multiple priorities.
- Excellent attention to detail and problem-solving abilities.
- Experience processing purchase orders, invoices, and maintaining records.
- Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
- Strong communication and interpersonal skills.
- Ability to work independently and collaboratively within a team environment.
- Experience supporting training coordination, travel arrangements, or workforce administration is highly regarded.
