ABOUT THE ROLE
PRO PLASTER SERVICES PTY LTD operates a commercial vehicle fleet supporting road-freight, collection and delivery services across Melbourne and surrounding areas.
We are seeking an experienced Fleet Manager to organise and control the acquisition, disposal, leasing, maintenance, availability and efficient utilisation of the company's vehicles. The successful candidate will maintain a safe, compliant and cost-effective fleet that meets the operational needs of the business.
KEY DUTIES AND RESPONSIBILITIES
· Organise and control the day-to-day management of the company's commercial vehicle fleet.
· Assess operational vehicle requirements and develop fleet acquisition, replacement and disposal plans.
· Research and evaluate suitable vehicles, equipment and suppliers having regard to capacity, safety, reliability, whole-of-life cost and operational requirements.
· Coordinate the purchase, sale, trade-in, leasing, financing and disposal of fleet vehicles in accordance with approved budgets and company requirements.
· Negotiate and administer vehicle purchase, lease, maintenance, fuel, insurance and service-provider arrangements.
· Maintain an accurate fleet register recording ownership or lease details, registration, insurance, finance, warranties, specifications, assigned use and service history.
· Allocate vehicles according to operational requirements, vehicle capacity, availability and suitability, and coordinate vehicle substitutions when required.
· Monitor vehicle utilisation, mileage, downtime, fuel consumption and operating costs using GPS, telematics and fleet-management systems.
· Identify underutilised, unsuitable or high-cost vehicles and recommend redeployment, replacement or disposal.
· Develop and administer preventative-maintenance schedules, inspections, servicing and repairs to minimise breakdowns and downtime.
· Liaise with dealerships, manufacturers, lessors, mechanics, repairers, tyre suppliers, insurers and roadside-assistance providers.
· Ensure fleet vehicles are registered, insured, serviced and maintained in a safe and roadworthy condition.
· Coordinate vehicle defect reporting, breakdown response, accident repairs, insurance claims and return-to-service arrangements.
· Arrange vehicle fit-outs, accessories, signage, safety equipment and other modifications required for operational use.
· Monitor compliance with roadworthiness, vehicle registration, mass and dimension, load-restraint, Chain of Responsibility and workplace health and safety requirements relevant to the fleet.
· Develop and implement fleet policies and procedures covering vehicle allocation, authorised use, inspections, maintenance, fuel cards, tolls, incidents and driver responsibilities.
· Verify that employees authorised to operate fleet vehicles hold appropriate and current driver licences and complete required vehicle checks and records.
· Investigate vehicle incidents, damage, repeated defects, excessive fuel use and other fleet-performance issues, and implement corrective action.
· Prepare and manage fleet budgets and monitor expenditure relating to vehicle purchases, leases, fuel, servicing, repairs, tyres, insurance, registration and tolls.
· Analyse whole-of-life costs and prepare business cases and recommendations for fleet purchases, leasing arrangements, replacements and disposals.
· Maintain business records and prepare fleet utilisation, cost, maintenance, safety and performance reports for management.
· Supervise and support employees involved in fleet administration, vehicle inspections and fleet coordination, where required.
· Provide staff with guidance regarding safe vehicle use, defect reporting, fuel-card controls and fleet procedures.
· Identify and implement opportunities to improve fleet reliability, safety, environmental performance, utilisation and cost efficiency.
QUALIFICATIONS AND EXPERIENCE
The successful applicant will ideally have:
· A Diploma, Advanced Diploma or Associate Degree in management, business, logistics, automotive management or a related field.
· At least 2-3 years of relevant experience in fleet management, vehicle leasing, fleet procurement or commercial vehicle operations, preferably in a supervisory or management position.
· Demonstrated experience managing a commercial fleet, including vehicle acquisition, leasing, allocation, maintenance and disposal.
· Experience negotiating and administering vehicle, lease, maintenance, insurance and supplier agreements.
· Sound knowledge of fleet budgeting, whole-of-life costing, fuel management and vehicle-utilisation analysis.
· Knowledge of vehicle registration, roadworthiness, insurance, workplace safety and road-transport compliance requirements.
· Experience using GPS, telematics, fleet-management software and Microsoft Office applications.
· Strong planning, commercial, analytical and problem-solving skills.
· Ability to manage vehicle breakdowns, defects, accidents and competing operational requirements effectively.
· Strong communication, negotiation, record-keeping and stakeholder-management skills.
