Who are we looking for?
We are seeking a highly organised and detail-oriented Share Registrar to join our Secretariat team in Sydney on a 12-month fixed term contract .

Reporting to the Company Secretary, you'll play a key role in supporting GHD's global share registry administration and shareholder processes. This is an excellent opportunity for an experienced administrator who enjoys working with confidential information, managing complex processes, and delivering exceptional service to internal stakeholders.

As Share Registrar, you'll provide proactive support to the Share Registry and Secretariat team, assisting with the administration of shareholder activities and maintaining accurate records across a range of corporate governance processes. Working with an energetic and high-performing team, you will:

Managing the Share Registry inbox and shareholder enquiries
Coordinating share issues, transfers and shareholder transactions
Processing quarterly dividend payments and shareholder distributions
Supporting shareholder onboarding and offboarding activities
Assisting with share offer preparations and offer documentation
Maintaining shareholder records and data integrity within the Share Management Platform
Preparing shareholder communications, mail merges and announcements
Assisting with Annual General Meeting (AGM) preparations and shareholder documentation
Supporting shareholder briefings and presentation preparation
Managing documentation through digital signing platforms
Assisting with tax reporting and audit requirements
Managing shareholder loan applications, documentation and repayments

What you will bring to the team:

Previous experience in administration, executive support, company secretariat, legal administration, finance administration or a related field
Intermediate to advanced Microsoft Office skills, particularly Excel and Word
Strong attention to detail and proof-reading capability
Excellent written and verbal communication skills
The ability to manage competing priorities and meet deadlines
Strong stakeholder relationship and customer service skills
