Mid North Coast NSW (Work from Home + Monthly Kempsey Clinic)
Casual | 1–2 days per week | Immediate Start

Chatswood ENT is an established specialist ENT (Ear, Nose & Throat) practice providing high-quality care across Sydney and regional NSW. We are expanding our services on the Mid North Coast and are looking for a friendly, organised and reliable Medical Receptionist / Medical Administrator to join our team. If you have a great phone manner, strong multitasking skills, and a passion for patient care, we’d love to hear from you!

This is an ideal opportunity for someone living on the Mid North Coast who enjoys working independently from home while remaining part of a supportive and experienced team.

About the Role

This is a casual position working approximately 1–2 days per week, with the opportunity for additional hours to provide leave cover or as our regional services grow.

The role is primarily work from home, with attendance required at our monthly specialist clinic in Kempsey to provide face-to-face reception support.

Working remotely, you will use cloud-based practice management software, phone systems and online communication tools to support our doctors and patients.

Key Responsibilities

Patient Support: Greet patients, check them in/out, and ensure a smooth experience
Phone & Appointment Management: Answer calls, book, and arrange patient appointments
Admin & Correspondence: Process emails, manage patient records, and confirm upcoming clinics
Billing & Claims: Handle payments, Medicare/DVA/ADF/workers’ compensation claims
Clinic Preparation: Assist with reception duties, support doctors, and manage daily tasks
Public Hospital List: Submit and manage admissions to the doctor's public waiting list

What We’re Looking For

Attention to detail – Accuracy in admin and patient care is essential
Strong computer skills – Fast, efficient, and adaptable to new systems
Excellent English skills – Clear communication, both written and spoken
Friendly & professional personality – A positive attitude and a passion for patient care
Multitasking & flexibility – Ability to handle a busy environment and cover shifts as needed

Bonus Skills (Preferred but Not Required)

Prior experience in medical reception, GP clinics, allied health, dental, or call centers
Ability to accept and give constructive feedback to improve patient experience
Enthusiasm for teamwork and collaboration
Strong customer service skills
