Job Description

We are seeking a highly organized and detail-oriented Document Coordinator to join our APAC Documentation & Records Management team. In this role, you will support globally aligned document and records management activities, ensuring compliance with quality and regulatory requirements within electronic Document Management Systems (DMS) and records management platforms.

You will play a key role in maintaining document integrity, supporting archival and records management activities, contributing to business improvement initiatives, and partnering with stakeholders across the organization to ensure effective document governance.

This role will be based in Tullamarine in a hybrid capacity.

Key Responsibilities

Manage document workflows within electronic Document Management Systems (DMS), ensuring documents are processed accurately and in accordance with established procedures
Review, format, and quality-check documents to ensure compliance with approved templates and documentation standards.
Support document approval, release, periodic review, and obsoletion processes within the DMS.
Generate reports, document listings, and key performance metrics to support business and compliance requirements
Process records requests and coordinate the filing, retrieval, storage, archival, and destruction of paper and electronic records
Liaise with internal stakeholders and external storage providers to ensure the efficient management of records and archives.
Support audit and inspection readiness activities, including the provision of documentation and records required for reviews and investigations
Assist with quality-related activities, including deviations, CAPAs, change controls, and legal enquiries associated with document and records management processes
Contribute to local and global continuous improvement initiatives, business projects, and documentation process enhancements.
Provide guidance, training, and support to document coordinators and stakeholders across the business to promote best-practice document and records management.
Support the management of corporate archives and ensure records are maintained in accordance with regulatory and quality requirements.
Build strong working relationships with cross-functional stakeholders to support effective documentation governance across the APAC region.

About You

To be successful in this role, you will bring:

A degree in a relevant discipline, or equivalent vocational/technical qualifications and relevant experience.
Experience working in a pharmaceutical, biotechnology, healthcare, or other highly regulated industry.
Strong knowledge of document control, records management, or quality management processes.
Excellent attention to detail and organisational skills.
Strong communication and stakeholder management capabilities.
Proficiency in Microsoft Office applications and related systems.
The ability to manage multiple priorities in a fast-paced environment.

Preferred Experience

Knowledge of cGMP/GxP requirements.
Experience working with electronic Document Management Systems.
Familiarity with FDA, EMEA, and 21 CFR Part 11 requirements is advantageous.
