The day to day property management of Phoenix Shopping Centre and Altone Park, in accordance with duties identified with the Management Agreement.
You will take responsibility and lead by example a small team in managing and operating the centres to the very highest of professional standards to maximise the net return to the Owner.
You will be responsible for:
Financial Management, Planning & Administration
- Implementation of all responsibilities as specified in the Management Agreement.
- Preparation and analysis of income/expenditure budgets, business plans, monthly reports, outgoings recoveries, forecasts and audits in accordance with the owner’s critical dates. Communicate strategy and asset/business plans to the management team.
- Review and analyse performance of the centre e.g. monthly, quarterly reports, reforecast reports. Maintain efficient and tight control over the centre’s operating costs.
- Ensure the information within the tenancy schedule is accurate at all times.
- Ensure all applicable charges for tenants are processed in accordance with the lease.
- Oversee the issue of purchase orders and set up of contracts in MRI.
- Oversee the management of prompt processing of creditor Tax Invoices. Authorise payment of processed invoices as per client’s limits and JLL’s credit authority procedures.
- Oversee, manage and actively pursue rental arrears. Update Portfolio Accountant with Lease and/or operating costs information in a timely and accurate manner pursuant to the Lease. Ensure the rent roll is reviewed, validated and amendments made if required each month to ensure correct rent is paid and/or received.
- Oversee the efficient collection of monthly sales figures from each retailer and preparation of monthly sales spreadsheets.
- Oversee collection of audited annual sales figures and percentage rent from retailers as per lease terms.
- Analyse monthly retailer trading figures, occupancy costs and retail market trends. Actively network and keep up with all industry journals.
- Ensure an accurate record of all tenancy matters are maintained and correspondence and official documentation is filed in the appropriate files.
- Ensure each retailer adheres to their lease and Centre Rules and regulations.
- Be fully conversant with the law and Retail Tenancy Act as it relates to retail leases.
- Liaise and conduct timely and appropriate discussions/meetings with all stakeholders and ensure file notes are kept of important matters.
- Maintain and update the warden, first aid, authorised signatory, tenant contact, after hour’s security access lists. Ensure the information within the building occupancy manuals is up-to-date.
- Respond to all customer/retailer/contractor complaints/issues with professionalism and appropriate communication.
- Lead, manage and develop the team with professionalism and be a brand ambassador for JLL.
- Keep the Owner fully informed of all management, marketing, leasing and operational activities.
Leasing
- All leasing negotiations are carried out by an external leasing consultant however the Retail Manager to assist by attending leasing meetings and responding to leasing enquiries as directed by the Owner.
- Assist in preparation of Leasing Documentation/Disclosure Packages as per Owner’s requirements and in conjunction with the Leasing Agent if required.
- Manage and implement in a timely manner the Assignment of Lease process for centre retailers.
- Develop and implement a Leasing and Retail Mix Strategy in conjunction with the Leasing Agent and/or Owner if required.
Operations
- Manage and assist the Operations Manager with:
- Maintaining the centres to the very highest of standards and minimising the liability risk exposure of the Owner and JLL.
- Ensure all processes/systems are operated in accordance with JLL Re-Guide and JLL standard documents.
- Regular site property inspections and completing Property Inspection reports. Follow up on any issues in a timely manner.
- Management of all incidents.
- The implementation of all operational systems and procedures in accordance with the Owner’s requirements.
- Maintain all plant and equipment to the very highest of standards and in accordance with Australian Standards.
- Ensure that all operations and maintenance undertaken in the centre conforms to the work place environment health and safety legislative requirements or with any other relevant legislative requirements applicable to works undertaken.
- Ensure that all operations and maintenance undertaken by the centre’s contractors conforms to the specifications as agreed between the Owner and the contractor.
- Ensure that all contractors satisfy the insurance requirements as required under the Company’s Public Liability Policy.
- Maintain an up to date Program Maintenance Schedule within Evolution.
- Oversee all maintenance personnel and contractors.
- Manage and assist in maintaining compliance with all OH & S, environment and risk management policies and procedures that relate.
- Manage the minor tenancy fit outs, project management and minor works.
Marketing
All marketing strategy and activations are carried out by an external marketing consultant however the Retail Manager to assist by attending relevant meetings and respond to marketing enquiries as directed by the Owner.
Any other duties as required.
