After 21 years of faithful service, our College Registrar is retiring, creating an exciting opportunity for
an experienced and committed professional to join Penrith Anglican College during a significant
period of growth.

Established in 1998, Penrith Anglican College seeks to nurture and develop empowered learners with
strength of character who know and follow Christ and serve others. Renowned for its academic rigour
and genuine care, the College has built a strong reputation for graduating young people who embody
its values of compassion, integrity, courage, humility, and perseverance. As enrolments continue to
grow across both Primary and Secondary years, the Registrar will play a vital role in supporting the
College’s mission by providing exceptional leadership of the enrolment process and fostering positive
relationships with prospective and current families.

Status Permanent Full Time (4 weeks annual leave)

Occasional evening or weekend hours may be required for

enrolment and special events.

Reporting To Head of Administration & Finance

Key Working Principal, Deputy Principal, Head of Admin & Finance, Head of Primary,
Relationships Head of Secondary

Role Summary

The Registrar plays a key role in supporting the mission and strategic objectives of Penrith Anglican

College through the effective management of student enrolments, records, compliance reporting, and

community engagement. As the primary point of contact for prospective and current families, the

Registrar builds positive relationships that reflect the College’s Christian values while overseeing

student enquiries, admissions, onboarding, retention, and transitions. Working closely with the

Principal and College leadership, the Registrar maintains the integrity of enrolment systems and

student data, including EnrolHQ, provides accurate reporting and enrolment forecasting, coordinates

recruitment and community engagement activities, and ensures compliance with legislative and policy

requirements.

Key Responsibilities

1. Enrolments Lifecycle

Manage all prospective enrolment enquiries and applications from initial contact through to

enrolment, providing timely, professional, and accurate information regarding the College,

entry requirements, and enrolment processes.

Oversee the administration of the enrolment pipeline, including monitoring demand, waiting

lists, vacancies, applications, interviews, placement assessments, enrolment offers,

contracts, acceptance processes, and associated payments.

Coordinate the successful transition of students into and out of the College by managing

onboarding, orientation, class placement processes, student withdrawals, records transfers,

exit procedures, and final account clearances.

Utilise EnrolHQ and other student management systems to maintain accurate enrolment data,

monitor enrolment trends and capacity, manage workflows, and support strategic enrolment

planning and decision-making.

Administer scholarship and bursary programs, including coordinating assessments, liaising

with external providers, maintaining candidate records, and communicating outcomes to

applicants and their families.

Build and maintain positive relationships with prospective and current families, staff, and

external stakeholders, ensuring a high standard of service and a welcoming enrolment

experience that reflects the College's Christian values and commitment to excellence.

2. Student Records and Database Management

Maintain accurate and complete records within the College’s student management systems

and physical files, conducting regular audits to ensure data integrity, resolve duplicate

records, and maintain appropriate family relationships and contacts.

Ensure student academic records, assessment results, reports, and related documentation

are accurately maintained and updated, and coordinate formal requests for student records,

references, and letters of recommendation.

Maintain and regularly review waiting lists across all year levels, ensuring prospective families

receive timely communication regarding application status and available vacancies.

Securely manage the storage, retention, archiving, and disposal of student records in

accordance with legislative requirements, privacy obligations, and College recordkeeping

policies and procedures.

3. Compliance and Reporting

Prepare and present accurate monthly enrolment reports, dashboards, and analysis for the

Executive Team and College Council, including enrolment trends, application volumes,

conversion rates, retention levels, and student turnover data.

Collaborate with the Business Manager to develop annual enrolment projections and budget

assumptions, incorporating approved cohort capacities, confirmed enrolments, enquiry data,

anticipated student movements, and withdrawal trends.

Prepare and submit accurate enrolment, attendance, census, compliance, accreditation, and

other statutory reports and datasets in accordance with government, regulatory, and sector

requirements.

Analyse enrolment trends, demographic data, market conditions, and student movement

patterns to provide strategic forecasts and capacity planning information that supports

informed decision-making and the College's long-term growth objectives.

4. Events and Community Engagement

Plan, coordinate, and host enrolment and community engagement events, including

Information Evenings, Orientation programs, and other student recruitment activities.

Conduct engaging and informative individual and group tours for prospective families,

effectively showcasing the College’s values, educational offerings, facilities, and student

experience.

Represent the College at external promotional events, expos, community forums, networking

opportunities, and other activities that support enrolment growth and community engagement.

Collaborate with marketing and communications staff to ensure marketing assets and

communications reflect current student trends and College strategy.

5. Policy, Finance and Operations

Participate in the review and continuous improvement of enrolment policies, procedures, and

practices to ensure compliance with relevant Commonwealth and State legislation, regulatory

requirements, and operational best practice.

Process enrolment and registration fees, verify deposits and payments, and work

collaboratively with the Finance team to support fee administration, account monitoring, and

debt management processes.

Provide high-quality administrative support by managing enquiries and correspondence,

preparing documentation, processing routine administrative tasks, and assisting staff with

student records and enrolment procedures.

Comply with all child protection, safeguarding, workplace health and safety, and risk

management requirements, ensuring the wellbeing and safety of students, families, staff, and

visitors at all times.

Qualifications/Accreditations

Relevant tertiary qualifications in Business Administration, Education, Management,

Marketing, Communications, or a related discipline, or an equivalent combination of

qualifications and demonstrated experience.

Current NSW Working With Children Check and eligibility to work in Australia.

First Aid and CPR certification (desirable).

Skills and Attributes

Have a personal commitment to the Lord Jesus Christ and regularly attend a Christian

church.

Experience using enrolment and student management systems, including EnrolHQ and

school administration databases, with a strong focus on data integrity and process efficiency.

Demonstrated ability to analyse enrolment trends, prepare reports, and provide accurate data

to support strategic planning and decision-making.

Highly developed interpersonal and relationship management skills, with the ability to build

positive and professional relationships with prospective and current families, staff, and

external stakeholders.

Excellent written and verbal communication skills, with the ability to communicate sensitively,

professionally, and confidentially with a diverse range of stakeholders.

Strong organisational and time management skills, with the ability to manage multiple

priorities, meet deadlines, and maintain a high level of accuracy and attention to detail.

Demonstrated understanding of privacy, records management, and compliance obligations

relating to student information and educational settings.

Advanced proficiency in Microsoft Office applications, particularly Excel, Word, Outlook, and

database reporting tools.

Experience preparing statistical, compliance, census, and enrolment reports for school

leadership, governing bodies, and external agencies.

Commitment to continuous professional learning and the ability to apply current best practice

in enrolment management, admissions, and customer engagement.

Child Safety

Penrith Anglican College is committed to child safety and complies with the requirements of the Child

Protection (Working with Children) Act 2012. All staff are required to comply with the applicable child

protection legislation and ensure that the College’s Child Safety policies and procedures are

implemented at all times. Education has an important role to support children and young people and to

identify where problems arise that may put their safety, welfare or wellbeing at risk. All College staff

have a responsibility to report risk of harm concerns about children and young people, within their roles,

and to provide support to children and young people.
