Key Responsibilities
1. Enrolments Lifecycle
- Manage all prospective enrolment enquiries and applications from initial contact through to
enrolment, providing timely, professional, and accurate information regarding the College,
entry requirements, and enrolment processes.
- Oversee the administration of the enrolment pipeline, including monitoring demand, waiting
lists, vacancies, applications, interviews, placement assessments, enrolment offers,
contracts, acceptance processes, and associated payments.
- Coordinate the successful transition of students into and out of the College by managing
onboarding, orientation, class placement processes, student withdrawals, records transfers,
exit procedures, and final account clearances.
- Utilise EnrolHQ and other student management systems to maintain accurate enrolment data,
monitor enrolment trends and capacity, manage workflows, and support strategic enrolment
planning and decision-making.
- Administer scholarship and bursary programs, including coordinating assessments, liaising
with external providers, maintaining candidate records, and communicating outcomes to
applicants and their families.
- Build and maintain positive relationships with prospective and current families, staff, and
external stakeholders, ensuring a high standard of service and a welcoming enrolment
experience that reflects the College's Christian values and commitment to excellence.
2. Student Records and Database Management
- Maintain accurate and complete records within the College’s student management systems
and physical files, conducting regular audits to ensure data integrity, resolve duplicate
records, and maintain appropriate family relationships and contacts.
- Ensure student academic records, assessment results, reports, and related documentation
are accurately maintained and updated, and coordinate formal requests for student records,
references, and letters of recommendation.
- Maintain and regularly review waiting lists across all year levels, ensuring prospective families
receive timely communication regarding application status and available vacancies.
- Securely manage the storage, retention, archiving, and disposal of student records in
accordance with legislative requirements, privacy obligations, and College recordkeeping
policies and procedures.
