Job Description

Portabene BB Consultancy is seeking an experienced IT Project Coordinator to support the planning, execution, and delivery of technology projects across our Brisbane operations. Working closely with project managers, technical teams, and business stakeholders, you will help ensure projects are delivered on time, within scope, and aligned with business objectives.

This role is ideal for someone who is highly organised, proactive, and comfortable coordinating multiple tasks in a fast-paced consultancy environment.

Key Responsibilities

Project Coordination & Support
Assist in the planning and delivery of IT projects, ensuring timelines, budgets, and scope are clearly managed.
Coordinate day-to-day project activities, resources, meetings, and information.
Prepare and maintain project documentation, including project plans, status reports, risk registers, and change logs.
Stakeholder Communication
Act as a central point of contact between technical teams, vendors, and business stakeholders.
Schedule and facilitate project meetings, workshops, and presentations.
Track and communicate project progress, risks, and issues to relevant stakeholders in a clear and timely manner.
Documentation & Reporting
Maintain up-to-date project documentation and ensure it is stored and organised appropriately.
Support the preparation of regular progress reports and executive summaries.
Document business requirements, meeting minutes, action items, and decisions.
Risk, Issue & Change Management
Help identify, log, and track project risks and issues, escalating where required.
Support change control processes, ensuring scope changes are documented, assessed, and approved.
Monitor dependencies and follow up on outstanding tasks to keep projects on track.
Process & Quality Support
Assist in ensuring adherence to internal project management frameworks and methodologies.
Support continuous improvement initiatives, suggesting enhancements to processes, templates, and tools.
Contribute to post-implementation reviews and lessons-learned activities.

Skills & Qualifications

Essential
Previous experience in an IT project coordination or similar project support role.
Strong understanding of project management principles and lifecycles (Agile and/or Waterfall).
Excellent organisational and time management skills with the ability to manage multiple priorities.
Strong communication and interpersonal skills, with confidence liaising with both technical and non-technical stakeholders.
High attention to detail and strong documentation and reporting capabilities.
Proficiency with project management and collaboration tools (e.g. MS Project, Jira, Trello, Confluence, MS Office/365).
Desirable
Experience working in a consultancy or professional services environment.
Exposure to software implementation, infrastructure, or digital transformation projects.
Relevant certification or training (e.g. PRINCE2, PMP, Agile/Scrum, or similar).
Tertiary qualification in Information Technology, Business, or related field.
