Full Job Description

We’re a growing electrical and electronic security contracting business seeking an experienced Accounts & Office Administrator to take ownership of our finance, payroll and core office operations. This role is ideal for someone who enjoys structured accounting work, accurate reconciliations and maintaining clean financial systems.

About the Role

You’ll be responsible for the day‑to‑day financial operations of the business — managing end‑to‑end bookkeeping, payroll and compliance, supported by a small and collaborative team.

Finance & Accounting (Core Focus)

Full bank reconciliations, and manual journals
Payroll tax, insurance and leave provisions
Wage updates, staff cost tracking and leave/WorkCover lodgements
Fixed asset register maintenance and monthly depreciation
Vehicle finance interest allocations
Maintaining accurate financial records and supporting monthly reporting

Accounts Payable & Receivable

Supplier invoice processing in Xero and receipting in Simpro
Customer invoicing through Simpro
Managing AP/AR cycles, cash flow updates and aged payables
Ensuring clean, timely data flow between Xero & Simpro

Payroll

New staff onboarding (Xero & Simpro)
Weekly payroll, superannuation and ATO submissions
Staff reimbursements and STP finalisation
End‑of‑year payroll compliance

Compliance & Reporting

BAS & IAS lodgements
Job activity reporting from Simpro
GST reconciliation

Office Administration (Light)

General office coordination
Vehicle records, maintenance scheduling, Vicroads portal and Eastlink accounts
Apprentice onboarding and apprentice card approvals

About You

Strong bookkeeping experience with Xero (Simpro highly regarded)
Confident across payroll, AP/AR, reconciliations and compliance
High attention to detail and accuracy
Comfortable working independently and supporting a busy operations team
Enjoys maintaining tidy financial systems and improving processes
