About High Vision Renovations

High Vision Renovations is a growing renovation and construction business committed to delivering high-quality projects and an excellent experience for our clients.

As the business continues to grow, we are looking for an organised and dependable Operations & Accounts Coordinator to become our first central operations hire. This is a key role supporting the Director and creating the administrative, financial and project systems needed to keep the business running smoothly.

About the Role

This is a hands-on position covering central operations, accounts administration, bookkeeping and Buildertrend project maintenance.

You will coordinate the day-to-day administrative functions of the business, keep financial and project information up to date, and help ensure that suppliers, subcontractors, clients and internal projects are managed efficiently.

The position is initially part-time, with two possible working arrangements:

Three full days per week; or
Five half days per week.

We are open to discussing which arrangement works best for the successful candidate and the business.

Key ResponsibilitiesAccounts and Bookkeeping

Manage day-to-day bookkeeping and accounts administration.
Process supplier invoices and reconcile transactions.
Manage accounts payable and support accounts receivable.
Prepare and issue customer invoices, progress claims and payment requests.
Monitor outstanding invoices and follow up overdue accounts professionally.
Maintain accurate financial records and supporting documentation.
Assist with bank and credit card reconciliations.
Work with the external accountant or bookkeeper when required.
Help prepare financial information and reports for management.

Buildertrend and Project Administration

Create and maintain projects in Buildertrend.
Keep project details, budgets, documents and schedules accurate and current.
Enter and manage purchase orders.
Assist with project invoicing, progress claims and variations.
Upload and organise supplier quotes, invoices, contracts and project documents.
Track purchase orders, commitments and project costs.
Support the Director and project team with administrative follow-ups.
Help ensure every project follows a consistent administrative process from commencement through to completion.

Central Operations

Coordinate the day-to-day administrative operations of the business.
Maintain organised digital files, templates, registers and business records.
Assist with supplier and subcontractor onboarding and documentation.
Monitor important deadlines, approvals and outstanding actions.
Improve administrative workflows and introduce practical, repeatable processes.
Act as a central point of coordination between the Director, clients, suppliers, subcontractors and project teams.
Provide general administrative and operational support as required.

About You

You are highly organised, reliable and comfortable taking ownership of important administrative and financial tasks. You enjoy bringing structure to a growing business and can confidently manage several priorities without losing attention to detail.

You will ideally have:

Previous experience in bookkeeping, accounts administration, office coordination or business operations.
Experience with accounts payable, accounts receivable, invoicing and reconciliations.
Strong attention to detail and a high level of accuracy.
Excellent organisational and time-management skills.
Confidence communicating with clients, suppliers and subcontractors.
The ability to work independently and follow tasks through to completion.
Strong computer skills and confidence learning new systems.
A professional, practical and solutions-focused approach.
Experience in the building, construction or renovation industry, which would be highly regarded.
Experience using Buildertrend, which would be an advantage but is not essential.
