POSITION DESCRIPTION

POSITION DESCRIPTION

Position name Head of School Logistics

Area of School ELC to Year 12

Tenure Permanent teaching position with five (5) year POR contract

Employment Status Teaching position – 0.2 teaching load (1.0 FTE)

Key Relationships

This position reports to the Deputy Principal and liaises with other

senior management staff as required and is a member of the School

Management Group.

Position Objective

The Head of School Logistics ensures the smooth administration of school calendars, examinations, testing

programs and associated systems, supporting compliance, communication and continuous improvement.

They are responsible for the production and ongoing maintenance of the Preparatory and Senior School

timetables, ensuring curriculum decisions are operationalised efficiently and strategically.

Key Responsibilities of the Head of School Logistics role:

1. Logistics and School Calendar
a) Provide expert support to ensure appropriate connectivity and interplay with School systems that

extract information from the timetable and other systems to produce:

Creation, publication and maintenance of the Westminster annual School calendar

Senior and Preparatory School meetings calendar

Senior and preparatory School staff yard duty rosters

Manage the school calendar and coordinate various sub-school functions in an effective

and efficient manner that is responsive to School requirements, including but not limited
to information evenings, ceremonies, assemblies, special functions, carnivals and photo
days.

b) Manage programming, room allocation, preparation/set up and the invigilation of all Senior School
Examinations.

SACE Examination timetables and supervision rosters.

End of year examination timetable for Year 7 to 10 students.

Facilitate post-event debrief meetings with stakeholders to identify areas for

improvement.

c) Proactively develop and implement strategies and processes that ensure the efficient operation of
one-off, annual and regular whole of School activities and information sources.

d) Update and/or coordinate updates to the whole of School information on internal and external
resources such as SEQTA and the Westminster website.

e) Other Prep School or Senior School coordination tasks as delegated by the Head of Senior School,
Head of Prep or Director of Learning.

2. Whole School Timetables
a) As directed by the Senior Leadership, manage the timely production and distribution of all Senior

School timetables and rosters including:

Operationalising School curriculum decisions and assist the implementation of desired

teaching and learning strategies as a member of the Workforce Planning Committee.

Collation of subject choices.

Determining the number of classes to run across subjects at different year levels.

Assisting to meet Senior School staff:student ratios established by School Council

Making full use of School resources with respect to time, classrooms and teachers

Producing Semester 1 and 2 academic timetables for students and staff

Ongoing timetable maintenance arising from changes in staffing or students, including:

o New students and student leavers
o Timetables ready for new students (take copy of leavers for file)
o Synergetic access for Roll class and House

b) As directed by the Senior Leadership, manage the timely production and distribution of the
Preparatory School timetables and rosters.

c) Ensure an ELC-12 lens is applied to all timetabling, achieving synergies and staffing efficiencies
across the whole school where appropriate.

d) Maintain and apply expert knowledge of timetable applications, ensuring continuous growth and
development in knowledge and application to a whole school environment is achieved.

e) Provide expert support to ensure appropriate connectivity and interplay with School systems that
extract information from the timetable.

3. NAPLAN testing

a) Collaborate with key staff to ensure legislative requirements for student reporting, including
NAPLAN, are adhered to.

b) Act as lead coordinator and facilitator of NAPLAN testing within the School via the NAPLAN portal.
c) Provide training and assistance to key staff with regards to NAPLAN requirements and protocols.
d) Create and distribute student reports in accordance with mandated guidelines and requirements.
e) Manage programming, room preparation/set up and the invigilation of NAPLAN tests.
f) Lead other national testing (TIMMS, PIRLS, ACARA /ACER Item Testing, etc)

4. Leadership and Professional Learning
a) Participate as a member of the School Management Group (SMG).
b) Provide regular updates to the School Leadership Team (SLT) and SMG on School operations,

events and logistics.
c) Line Manage the Daily Organisation and Relief Coordinator providing direction, support, coaching

and recommendations for professional learning where required.
d) Act as a backup to the Daily Organisation and Relief Coordinator, undertaking relief allocations

when they are absent.

e) Maintain oversight of staff professional learning opportunities to effectively manage and balance
the School’s relief teacher requirements, providing recommendations to Senior Leadership as
required.

Key Selection Criteria: Qualifications, Skills and Experience:

Current teacher registration

Strong knowledge of operations within a School environment

Broad understanding of all learning areas, and ability to suggest relief teaching activities in most

subject areas if required

Consistent and reliable in performing daily duties

Proactive and positive approach to dealing with problems and issues

Works well with all members of teaching staff, in a way which balances task focus (reliefs must be

given and done) and people focus (building positive relationships)

Liaises with Heads of School, Director of Learning, Director of Teaching, Preparatory School

Deputies, Curriculum Leaders and Director of People and Culture as required to fulfil
responsibilities

Ability to think and plan ahead

Attention to detail

Effective communication skills (public speaking, listening, writing)

Effective interpersonal skills

Able to consult and negotiate when there are competing demands or conflicts

Able to be honest but diplomatic

Willing to express a point of view but supportive of school policy decision.

Safety and Wellbeing:

All staff must:

Take reasonable care of, and cooperate with actions taken to protect, the health and safety of both

themselves and others

Report all accidents, incidents and hazards to their supervisor as soon as is practicable

Read and abide by all WHS policies

Conditions of Employment:

All applicants must be eligible to work in Australia

• Teachers must have (or be eligible to obtain) current registration with Teachers Registration Board of

South Australia
• All staff must satisfy child protection screening and adhere to Westminster’s Child Protection policy
• All teaching staff must have completed current Provide First Aid training
• A 6-month probationary period applies to all teaching positions and positions of responsibility
