Job Title: Administrative Assistant

Company: Coffee Machine Warehouse

Location: Clayton, Victoria

Employment Type: Full-Time | Permanent

Work Hours: Monday–Friday 8:00am–5:00pm | Occasional Saturdays 10:00am–5:00pm

About Us

Coffee Machine Warehouse is a fast-growing industry leader specialising in coffee machines, accessories, and commercial café solutions. We pride ourselves on delivering exceptional customer service, high-quality products, and a supportive team environment. As our business continues to expand, we are seeking a proactive and detail-oriented Administrative Assistant to join our Clayton team.

This is a great opportunity for someone who already has excellent computer skills & proven customer service experience who is willing to learn about the coffee machine industry.

For the right candidate, this position has the ability to grow into a sales role so we are looking for a long term candidate who wishes to grow within the business.

Key Responsibilities

Administrative Support & Customer Service

Handle incoming customer phone calls professionally and efficiently
Assist customers with enquiries and direct them to the appropriate team members
Support sales staff with processing orders, preparing documents, and coordinating daily tasks

Listings, Marketing & Online Platforms

Create and manage product listings on platforms such as Facebook Marketplace, Gumtree, eBay, and other online channels
Assist with basic marketing activities including uploading photos, writing descriptions, and updating online content

Teamwork & Operations

Work closely with staff across multiple departments to support day-to-day office operations
Follow instructions accurately and complete tasks in a timely manner
Assist with filing, data entry, stock updates, and general admin duties

Strong computer literacy (typing, navigating online platforms, using basic software)
Excellent attention to detail and ability to follow instructions
Friendly, professional phone manner
Proactive, helpful, and willing to learn
