Position Overview
We are seeking a highly organised and detail-oriented Administrative Officer to join our team. This role is initially offered on a part-time basis (3 days per week) and is expected to grow into a full-time position as business needs increase.
The successful candidate will play a key role in supporting the day-to-day operations of the business through payroll processing, bookkeeping, stock management, supplier coordination, purchasing, and shipment tracking. Key ResponsibilitiesPayroll & Administration
- Process employee wages and maintain payroll records.
- Ensure payroll is completed accurately and on time.
- Maintain employee records and administrative documentation.
- Assist with general office administration and filing.
Bookkeeping & Accounts
- Manage daily bookkeeping activities.
- Process accounts payable and accounts receivable.
- Reconcile bank accounts and financial records.
- Maintain accurate financial data and assist with reporting.
- Work with external accountants or bookkeepers as required.
Stock & Inventory Management
- Monitor stock levels and maintain inventory records.
- Conduct regular stock checks and investigate discrepancies.
- Ensure stock movements are accurately recorded.
- Coordinate stock replenishment to meet operational requirements.
Supplier & Purchasing Coordination
- Liaise with suppliers regarding orders, pricing, and product availability.
- Create and issue Purchase Orders (POs).
- Follow up on outstanding orders and supplier deliveries.
- Build and maintain positive supplier relationships.
Shipping & Logistics
- Track incoming shipments and monitor delivery schedules.
- Coordinate with suppliers, freight companies, and internal stakeholders regarding shipment status.
- Resolve delivery issues and communicate potential delays.
- Maintain accurate shipping and receiving records.
Skills & ExperienceEssential
- Previous experience in administration, bookkeeping, accounts, or a similar role.
- Experience processing payroll/wages.
- Strong organisational and time-management skills.
- High level of accuracy and attention to detail.
- Proficiency in Microsoft Office, particularly Excel.
- Strong communication and interpersonal skills.
- Ability to work independently and manage multiple priorities.
