We are seeking an enthusiastic, professional person to assist with the day-to-day functions of a Customer Service/Receptionist. Applicants must have an ability to work as a member of a team and have the ability to multi-task. Must have 1 year or more experience in the field.
Attention to detail and previous experience is essential.
Your role:
You are the first point of contact for our clients and staff. You must be professional and always treat people courteously.
The Administration Officer provides a range of administration and support services to meet the needs of the office, executive and client services staff. To be effective, the Administration Officer must work collaboratively with all staff particularly the management team.
To be considered for this role you must be able to demonstrate the following:
Experience as a medical receptionist or with an NDIS provider (essential)
Proficiency in Office applications and administrative systems
Strong Organisational, time management, and multitasking abilities
Effective communication and interpersonal skills for liaising with staff, participants and stakeholders
Attention to detail and accuracy in financial and administrative processes
Ability to work independently and collaboratively within a team
Knowledge of the NDIS Program
Experience in the use of Brevity (desirable) or training provided.
Professional telephone etiquette
Ability to prioritise workloads.

Duties of this role may include but are not limited to the following:
- Ensure the general office administration requirements of Peoples First Choice Australia’s main office are met including office supplies, equipment, cleaning and maintenance
Reception duties including:
- screening calls
- responding to general telephone and email enquires
- Ensure timely and effective response/referral of queries through the online chat program
- Establish and maintain a range of basic databases and records systems including; mailing lists office records, others as required
- Develop and maintain a database of local services
- Process inward and outward mail
- Filing including all personnel files, ensuring that these are up to date with the required documentation
- Take minutes at board meetings and distribute meeting documents through the chairperson
- Support the general administrative requirements of the organisation including:
- Managing Petty Cash
- Collate and submit staff time sheets for payroll processing
- Assist with general bookkeeping duties using Brevity
- Maintain the Customer Complaints and Feedback Register including issuing the initial acknowledgement
- Be responsible for undertaking regular evacuation procedures
- Provide support to management as required
- Maintain a clean and welcoming office environment for our clients, staff and visitors
- Contribute to the continuous improvement of PFCA by sharing ideas, participating in staff meetings, raising issues, questioning the way we do things and offering solutions
- Adhere to organisational policies and procedures relating to Work Health & Safety, and contributing to a safe work environment
- Assist in the collation of employment applications for new employees including communicating interview times with applicants.
- Assist in screening and interviewing of office staff
- Assisting with the rostering of support workers/NDIS consumers on the Brevity System
