About the role
Join the Royal Melbourne Hospital’s Virtual Ward pilot and provide high-quality administrative support to a growing model of virtual care. The Virtual Ward currently supports patients following cardiac surgery and those living with heart failure, with patients receiving regular virtual clinical review and, where appropriate, remote monitoring.
As the Administration Assistant, you will support the day-to-day coordination of the service, including patient administration, equipment and fleet management, data analysis, reporting and workflow improvement. You will also assist patients with registration, digital healthcare applications and remote monitoring devices, working closely with nursing and multidisciplinary teams to ensure a seamless patient experience.
Key Accountabilities
Provide day-to-day administrative support to the Virtual Ward, including patient registration, movement, records and workflow coordination.
Support patients with digital healthcare applications and remote monitoring devices, including education and troubleshooting.
Manage equipment, stock, fleet vehicles and patient transport to support safe and efficient service delivery.
Maintain accurate spreadsheets and databases, analyse data and prepare reports to monitor KPIs and support service improvement.
Coordinate meetings, invoices and other administrative processes, ensuring timely and accurate completion.
Work collaboratively with patients, families, carers and multidisciplinary teams, contributing to service planning, continuous improvement and a safe, respectful workplace
About You
You are an organised and adaptable administrator who can manage competing priorities and work confidently in a fast-paced healthcare environment. You bring:
Proven administration experience and strong organisational skills.
Excellent written, verbal and interpersonal communication skills.
Well-developed computer skills, including Microsoft Office and spreadsheets.
Strong problem-solving, prioritisation and time management skills.
Ability to work independently and collaboratively across diverse teams.
Reliability, professionalism, adaptability and confidence driving fleet vehicles across Melbourne.
