Since 1984, Downes Wholesale Nursery has grown to become one of Australia’s largest wholesale plant suppliers to the commercial landscaping, council, and development sectors. Operating across 100 acres in Theresa Park and Northern NSW, we take immense pride in our green assets, our high standards, and our supportive workplace culture.

We are seeking a bright, motivated, and proactive Reception & Office Administrator to join our main office team. You will be the face and voice of our nursery headquarters, providing vital administrative support to our busy sales desk and ensuring daily office operations run seamlessly.

Key Responsibilities

First Point of Contact: Warmly greet office visitors and handle incoming calls, directing enquiries and delivery drivers to the correct team members promptly.
Sales Desk Support: Assist our internal sales consultants with processing client orders, preparing documentation, and following up on client enquiries.
Data & Order Entry: Input daily sales orders, quotes, and customer information into our management systems with high accuracy.
Reporting & Documentation: Assist with basic operational reporting, data updates, and maintaining accurate filing systems.
General Office Administration: Manage incoming/outgoing mail, maintain office supplies, and keep the reception area clean, welcoming, and organised.

You are a positive team player who thrives in a fast-paced environment, takes pride in high attention to detail, and enjoys helping others.

Essential Criteria:

Technical Proficiency: Strong computer literacy, including good hands-on knowledge of the Microsoft Office suite (Word, Excel, Outlook).
Communication Skills: Professional, clear, and confident phone manner and written communication skills.
Organizational Ability: Strong time management skills, sharp attention to detail, and the ability to prioritize tasks and work autonomously when needed.
Customer Service Mindset: A committed, professional approach to assisting clients and supporting your colleagues.
Team Spirit: A reliable, "can-do" attitude and the ability to collaborate effectively in a friendly office environment.
