About Us

We are seeking a highly organised and customer-focused Administration Assistant to support our growing operation and play a critical role in coordinating customer, transport and administration activities across the business.

About the Role

Reporting to the Warehouse Operations General Manager, Administration Assistant provides day-to-day operational administration support with primary responsibility for transport bookings, customer invoicing, customer portals and dispatch administration.

The successful candidate will be organised, proactive and capable of balancing multiple priorities in a fast-paced operational environment.

Key Responsibilities

Manage transport bookings for inbound and outbound freight movements.
Coordinate collection and delivery schedules with transport providers.
Prepare and process customer invoices for ripening, handling, storage, pre-pack, transport and other operational services.
Reconcile chargeable services, transport costs and warehouse activities against operational records before invoicing.
Process supplier invoices, purchase orders and other operational administration tasks.
Manage customer portals and online systems.
Maintain customer order information, bookings, compliance records and required documentation.
Support order entry, dispatch documentation and warehouse administration activities.
Assist with customer enquiries, claims documentation and service reconciliations.
Coordinate communication between customers, transport providers and warehouse teams.
Assist with peak-period operational requirements and customer service activities.
Provide administrative support across receivals, dispatch and inventory functions as required.

About You

Essential

Previous experience in transport administration, logistics coordination, customer service or operational administration.
Strong organisational and time management skills.
High attention to detail and accuracy.
Experience preparing invoices and reconciling operational information.
Excellent communication and customer service skills.
Intermediate to advanced Microsoft Office skills, particularly Excel.
Ability to manage multiple priorities in a fast-paced environment.
Strong problem-solving and coordination skills.

Desirable

Experience within warehousing, logistics, transport, food manufacturing or fresh produce industries.
Experience working with customer portals and online compliance systems.
Knowledge of freight booking systems and transport operations.
Experience with invoicing, accounts administration or operational reporting.
Understanding of warehouse operations and supply chain processes.
