Clerk 7/8, salary relative to experience, and ranges from $116,981 - $129,492 + super.
About the role
As Executive Assistant, you will provide high-level executive, secretariat and project support to Senior Executives, ensuring they are equipped to effectively deliver the organisation's strategic and operational priorities. This pivotal role sits at the centre of key business activities, managing competing demands, coordinating critical information flows, and acting as a trusted liaison between senior leaders and a broad range of internal and external stakeholders.
Working in a dynamic environment, you will oversee complex diary and communication management, coordinate responses to emerging issues, prepare high-quality briefing materials, and support the delivery of organisational initiatives and projects. Success in this role requires sound judgement, discretion, exceptional organisational skills, and the ability to build strong relationships across all levels of the organisation and government.
Key responsibilities include:
Managing and prioritising requests, commitments and competing demands to ensure the optimal use of Senior Executive time.
Providing high-level executive, secretariat and administrative support to Senior Executives.
Preparing, reviewing and managing a range of communications, correspondence, briefings, reports, submissions and presentations.
Acting as a key point of contact for Senior Executives and coordinating responses, actions and requests from stakeholders.
Managing complex diary schedules, meetings, travel arrangements and executive engagements.
Monitoring and triaging emerging issues, ensuring Senior Executives are appropriately informed and briefed.
Developing and maintaining effective relationships with Ministers' offices, executive leadership teams, government agencies and other stakeholders.
Facilitating the flow of information between executives, business units and external partners.
Providing leadership, guidance and support to executive support staff to strengthen the effectiveness of the executive support function.
Maintaining confidentiality and exercising sound judgement when managing sensitive information and matters.
Supporting governance, reporting and decision-making processes through accurate and timely documentation and coordination.
About You
You are a highly organised and proactive Executive Assistant who thrives in a fast-paced environment and enjoys being the trusted support person behind senior leaders' success. You can confidently manage competing priorities, build strong stakeholder relationships and exercise sound judgement while handling sensitive and confidential matters.
You will bring:
Demonstrated experience delivering high-level executive, secretariat and project support services to senior executives.
Exceptional organisational skills with the ability to manage multiple priorities, competing deadlines and changing demands.
Proven experience managing complex diaries, meetings, correspondence and executive workflows.
Strong written communication skills, with experience preparing executive briefings, reports, submissions and presentations.
Excellent stakeholder engagement skills and the ability to build productive relationships across a wide range of internal and external stakeholders.
Strong judgement and discretion when handling confidential and sensitive information.
The ability to anticipate issues, identify priorities and proactively implement solutions.
Strong attention to detail and a commitment to delivering work of the highest quality.
Experience working within government, a public sector environment or supporting executive leadership teams will be highly regarded.
Essential requirements
Tertiary qualification and/or relevant knowledge and experience.
