Full Job Description

OVERVIEW

We are a well-established metal fabrication and installation business located in the Sutherland Shire, supplying quality metal products to a range of market sectors across NSW. We manufacture and install high quality custom stainless steel, aluminium, and steel solutions to meet the unique needs of each client for domestic and commercial applications.

PRIMARY PURPOSE:

This role is the first point of contact and is responsible for reception, point of sale transactions and provides a range of comprehensive administrative and support services for the business, ensuring administrative, and associated office functions are carried out in accordance with established policy, procedures, and deadlines.

This position maintains company registers for compliance and provides exceptional custom service experience and support to the team across varied administrative activities, improving the efficiency and effectiveness of the office.

KEY ACCOUNTABILITIES

· Experience working at a reception desk in a busy environment, prioritising consecutive demands and operating a phone system, and addressing customer/sales inquiries (in person and via emails).

· Provide general administrative support, exercising discretion, initiative and pro-active thinking to address customer requirements and direct queries appropriately.

· Conduct effective cold calling for sales, researching leads, and maintaining detailed records for follow-ups and manage point-of-sale transactions.

· Manage and maintain electronic and physical document tracking system, ensuring data accuracy, accessibility, and efficient retrieval

· Deliver exceptional customer service, offering advice on material sales and services, handling complaints, and resolving issues effectively.

· Maintain compliance registers and exchange information to ensure consistency of work processes.

· Undertake purchasing and maintain inventory levels, to best facilitate point of sales for materials, products and services, taking cash, credit card and Square payments.

· Raise quotes and invoices through Xero or similar accounting software.

· Coordinate workshops, meetings, and toolbox sessions, including venue arrangements, attendee coordination, agenda preparation, minute-taking, and follow-up actions.

· Support business operations through purchasing, project assistance, and drafting/editing correspondence, reports, and social media content using MS Office, Canva, and other tools.

· Maintain a well organised office space and demonstrate proficiency in the operation of general office equipment, computers, printing devices and manage the daily opening/closing procedures.

ESSENTIAL KNOWLEDGE, SKILLS, AND EXPERIENCE

· Experience in office administration, intermediate knowledge, and proficient ability to utilise MS software - word processing, spreadsheets, outlook, and presentation software to produce standard correspondence, business documents and social media posts.

· Experience with accounting packages such as, Xero for quoting, purchasing and sales purposes (preferred).

· Demonstrated experience in the provision of administrative, customer and business support services.

· Demonstrated ability and experience in providing a positive customer experience, addressing requirements, resolving issues and needs, as the first point of call and thorough knowledge of the products and services provided, relay this knowledge to customers.

· Demonstrate a sound understanding of technology and use available technologies to maximise efficiencies and effectiveness to support business operations.

· Demonstrated ability to problem solve and initiate action, working cooperatively and effectively within and across work teams.

· High level communication and interpersonal skills including relationship building skills and a mature and professional approach to customer service.

Would suit local resident.

Hours: Monday – Friday 8am – 4:30pm (unless otherwise stated in Employment Contract) - alternate hours may be considered for the right candidate but 5 days a week required.
