We are currently looking for a reliable and organised Administration Assistant to join our team.
About the Role
As the first point of contact for our clients, you will play a key role in ensuring the smooth day-to-day operation of our office. This is a varied position that requires excellent communication skills, strong attention to detail, and the ability to manage multiple tasks efficiently.
Key Responsibilities
- Answer and direct incoming phone calls professionally.
- Welcome clients and visitors and provide excellent customer service.
- Liaise with the Australian Taxation Office (ATO) and other government departments on behalf of clients.
- Communicate with clients regarding ATO correspondence, government requests, and administrative matters.
- Schedule appointments and manage meeting calendars.
- Prepare, organise, scan and file client documents (both electronic and paper records).
- Assist with document lodgements and administrative compliance tasks.
- Support payroll processing and other routine accounting administration duties.
- Prepare engagement letters, client correspondence and other administrative documents.
- Maintain client records and update practice management systems.
- Order office supplies and assist with general office administration.
- Provide administrative support to accountants and directors as required.
About You
To be successful in this role, you will have:
- Previous administration or receptionist experience (experience in an accounting firm is highly regarded).
- Excellent verbal and written English communication skills.
- A friendly, professional and confident telephone manner.
- Strong organisational and time management skills.
- High attention to detail and the ability to prioritise competing tasks.
- Proficiency in Microsoft Office (Outlook, Word and Excel) and Gmail.
- The ability to work independently as well as part of a team.
- A positive attitude, willingness to learn, change and strong customer service skills.
Experience with accounting practice software such as Xero, MYOB, QBs, Handisoft or BGL will be an advantage.
Fluency in both English and Chinese (spoken and written) is essential for this role due to our client base.
