Youth Support Administration Officer
Location: Tom Quinn Community Centre, Bundaberg
Classification: SCHADS Level 3
Employment Type: Full Time hours - Monday – Friday (8am – 4.06pm)

About the Role
The Youth Support Administration position is the welcoming face and organisational heartbeat of the Bundaberg Youth Stream. This role creates a safe, friendly, youth‑centred reception environment while delivering high‑quality administrative support across a diverse range of programs, including:

This is a dynamic, people‑focused role ideal for someone who thrives in a busy environment, enjoys connecting with young people and the community, and takes pride in keeping operations running smoothly.
Key Responsibilities
-
Provide a warm, professional welcome to young people, families, visitors, and partners.
-
Support a culturally safe, trauma‑informed space aligned with our Model of Care.
-
Manage phones, inboxes, room bookings, visitor sign‑ins, and site presentation.
-
Assist with coordination of events, activities, and community engagement.
-
Identify and escalate incidents, concerns, or feedback appropriately.
-
Provide administrative support across all Youth Stream programs.
-
Assist with onboarding, coordination, compliance, and record‑keeping.
-
Manage venue bookings, contractor and visitor inductions, access keys/cards, and signage.
-
Maintain stationery, consumables, IT peripherals, assets, and support maintenance scheduling.

Process invoices, contractor payments, and maintain audit‑ready financial records.

Manage petty cash, credit card, and fuel card reconciliations.

Coordinate volunteer enquiries, interviews, onboarding, compliance checks, and offboarding.

Maintain volunteer rosters, timesheets, records, and recognition documentation.

Support onboarding of volunteers, student placements, mentors, and trainees.

Maintain fleet registers and coordinate servicing, repairs, safety checks, and vehicle bookings.

Manage vehicle keys and ensure compliance with fleet procedures.
Qualifications & Experience
-
Experience in reception and administration, ideally within youth or community services.

High proficiency in Microsoft 365
-
Demonstrated finance administration skills (invoicing, reconciliations, banking).

Ability to manage competing priorities in a fast‑paced environment.

Current QLD Driver Licence.

Current Blue Card
