Full Job Description

The Receptionist is the first point of contact for clients and visitors, responsible for delivering a warm, professional, and efficient front‑office experience. This role supports the accounting team with administrative tasks, client coordination, document management, and smooth day‑to‑day office operations. Strong communication skills, attention to detail, and a customer‑service mindset are essential.

Key Responsibilities

Greet clients and visitors in a professional and friendly manner
Answer incoming calls, emails, and enquiries; direct them to the appropriate team members
Manage appointment scheduling, calendars, and client bookings
Assist with client onboarding, including collecting documents and verifying information
Maintain reception area, meeting rooms, and office supplies
Handle incoming and outgoing mail, scanning, filing, and document organisation
Support accountants with administrative tasks such as preparing client files, printing reports, and data entry
Ensure confidentiality and compliance with firm policies and privacy requirements
Provide general office support to ensure smooth daily operations

Skills & Qualifications

Previous experience in reception, administration, or customer service (experience in an accounting or professional services office is an advantage)
Excellent verbal and written communication skills
Strong organisational and time‑management abilities
Proficiency with Microsoft Office, email systems, and basic office equipment
Experience with Xero Practice Manager, MYOB, or CRM systems (preferred but not essential)
Professional presentation and a positive, client‑focused attitude
Ability to handle sensitive information with discretion

Ability to multitask and prioritise in a busy office environment
Team‑oriented with a willingness to support colleagues

Pay: $27.00 – $30.00 per hour
