Since 2010, we have grown into a large specialist operation with multiple recycling depots, an extensive field workforce and purpose-built scheduling systems. About the Role
We are seeking an experienced Project Administrator to coordinate and support the delivery of construction site cleaning, waste recovery and recycling projects across Melbourne. Working closely with management, schedulers, site supervisors, field teams, contractors and clients, you will maintain project records, monitor work progress, coordinate resources and provide accurate operational reporting. This is a hands-on administration role requiring strong organisation, commercial awareness and the ability to manage multiple active projects and competing deadlines.
Key Responsibilities
· Plan and coordinate the administrative requirements of multiple construction site service projects from commencement through completion.
· Maintain project schedules, work orders, service bookings, site records and operational documentation using the company’s scheduling and job management systems.
· Liaise with builders, site supervisors, contractors, recycling depots and internal field teams to confirm service requirements, access arrangements, timelines and project priorities.
· Monitor project progress against schedules, identify delays or service issues and escalate matters requiring management attention.
· Coordinate labour, vehicles, equipment and depot requirements in consultation with scheduling and operations teams.
· Prepare, review and distribute project reports, status updates, service records and completion documentation.
· Record and manage variations to project scope, work orders and service requirements, ensuring approvals and supporting information are properly documented.
· Collect and analyse operational data relating to project performance, service delivery, waste recovery and recycling outcomes.
· Respond to client and stakeholder enquiries and assist in resolving project, scheduling and service-delivery issues.
· Assist management with process improvements, project reviews, compliance documentation and implementation of operational decisions.
· Ensure project information is accurate, current and maintained in accordance with company procedures and confidentiality requirements.
· Support invoicing and cost-control processes by verifying completed services, variations and relevant project records.
What We’re Looking For
· A relevant Diploma or higher qualification in project management, business administration, construction management or a related field.
· At least 1 year of relevant experience in project administration, construction operations, logistics, waste management or a comparable service-based environment.
· Demonstrated experience coordinating multiple projects, work orders, schedules and operational stakeholders.
· Strong written communication, reporting, document-control and record-management skills.
· Ability to interpret project requirements, identify priorities and follow through on actions within required timeframes.
· High attention to detail and confidence working with project data, spreadsheets, scheduling systems and Microsoft Office applications.
· Effective problem-solving skills and the ability to work calmly in a fast-paced operational environment.
· Strong interpersonal skills and the ability to communicate professionally with clients, site supervisors, contractors and internal teams.
· Knowledge of construction site operations, occupational health and safety, or recycling and resource recovery processes will be highly regarded.
