About Mercy Life & Property Care

Mercy Life & Property Care is a growing NDIS Disability & Property Services Company providing professional NDIS services and property maintenance services to residential, commercial, real estate and care-sector clients.

We are seeking a reliable, organised and experienced Administration Officer with Accounting Background to join our team in Toongabbie.

The ideal candidate will have a strong administration background combined with accounting experience and practical Xero experience. This role will suit someone who is confident handling office administration, invoices, payments, records and day-to-day business support.

About the Role

As an Administration Officer, you will provide day-to-day administrative support to management and the operations team while assisting with basic accounting and administrative tasks.

You will be responsible for keeping company records organised, assisting with quotation, reconciliation, invoicing and payments, maintaining staff records and supporting the smooth running of the office.

Key ResponsibilitiesAdministration

Manage day-to-day office administration.
Manage emails, correspondence and office communications.
Maintain accurate electronic and paper filing systems.
Prepare documents, reports, quotations and other business correspondence.
Maintain company records, licences, insurance documents and renewal dates.
Assist management with daily administrative tasks.
Communicate professionally with customers, suppliers, employees and service providers.
Assist with staff onboarding and maintaining employee records.
Assist with scheduling and coordination when required.
Maintain confidentiality of company, employee and client information.

Accounts & Xero

Prepare and issue customer quotations & invoices using Xero.
Enter and process supplier bills.
Monitor accounts receivable and follow up outstanding payments.
Assist with accounts payable.
Perform bank reconciliations in Xero.
Reconcile customer and supplier accounts.
Process payments and prepare remittance advices.
Assist with payroll and staff timesheet checking.
Check staff hours against schedules and timesheets.
Maintain accurate financial records in Xero.
Identify and follow up discrepancies in invoices and payments.

Essential Requirements

Xero experience is mandatory.

The successful applicant must have:

Previous experience in an Administration Officer, Accounts Administrator, Accounts Assistant or similar role.
Practical experience using Xero.
Good understanding of invoicing and bookkeeping.
Experience with accounts payable and accounts receivable.
Experience with bank reconciliations.
Good Microsoft Excel and Microsoft Office skills.
Strong attention to detail and accuracy.
Excellent organisational and time-management skills.
Good written and verbal English communication skills.
Ability to work independently and manage multiple tasks.
Professional, reliable and trustworthy approach to work.
Australian work rights.

Desirable

Previous experience in a small or medium-sized business.
Timesheet processing experience.
Experience dealing with customers and suppliers.
Accounting or bookkeeping qualification.
