About the role
Based in either Sydney or Melbourne, you’ll join our team as a Project Operations Coordinator, supporting a consistent and reliable project operations environment across APAC. You’ll work closely with Project Managers to ensure projects are set up correctly, financial and billing information is accurate, and project data supports reliable reporting and margin visibility.
You’ll also play an important role in process governance, training and continuous improvement, helping teams adopt consistent ways of working and improving the quality of project information across the business.
Key responsibilities:

Define, maintain and communicate standard processes for opportunity and project setup, administration, financial configuration and project closure.
- Support Project Managers with new project setup and quality assurance, checking scope, commercial terms, owners, dates, budgets, resourcing assumptions and approvals.
- Ensure project structures support accurate tracking of revenue, costs, time, subcontractors and margins, including appropriate invoicing and revenue recognition settings.
- Coordinate subcontractor and vendor readiness, including vendor profiles, rates, project allocations and accurate, timely time entries.
- Run data quality reviews and maintain dashboards and reports that support reliable forecasting, reporting and project margin visibility.
- Deliver onboarding and refresher training, act as a first point of contact for project process questions, and create practical guidance and self-service resources.
- Analyse recurring errors, rework and exceptions, recommend improvements and support process implementation, adoption and continuous improvement.
What you will need to succeed:

Experience in project administration, project operations, business operations or professional services operations.
- Strong attention to detail and a genuine interest in data quality, process discipline and operational consistency.
- Working knowledge of project financials, billing, revenue, costs, time recording and margin reporting.
- Experience with NetSuite, project management, CRM, ERP, PSA or financial systems, with confidence learning new systems and applying structured processes.
- Strong stakeholder management and communication skills, with the confidence to challenge incomplete or inaccurate information constructively and work with stakeholders to resolve issues.
- A continuous improvement mindset, with strong organisation and prioritisation skills and experience creating guidance materials, supporting user adoption and managing multiple requests through to completion.
