Full Job Description

The Production and Planning Officer is responsible for coordinating production planning, customising activities, and logistics operations to ensure customer and intercompany orders are fulfilled on time and in accordance with business requirements.

The role supports stock availability by creating and managing production orders based on forecast and consumption trends, while also assisting in planning customer project requirements to meet required delivery dates.

The position plays a key role in coordinating with internal teams including Customer Service, Sales, Procurement, and Warehouse Operations to ensure smooth order processing and accurate lead time and freight cost information.

The Production and Planning Officer also works closely with freight companies, carriers, and logistics partners to arrange shipments, coordinate collections, and ensure timely dispatch of goods. The role is responsible for preparing and managing shipping documentation for both domestic and export shipments to ensure compliance with company and regulatory requirements.

Additionally, the role contributes to the continuous improvement of logistics, planning, and customising processes by identifying opportunities to improve efficiency, accuracy, and service levels.

3. TARGET SETTING (Main Responsibilities)

· Plan and create production orders to maintain appropriate stock levels in line with consumption trends and forecast requirements.

· Support the L/C Manager in planning customer project requirements by coordinating production activities to ensure products are available by the required delivery dates.

· Provide support to Customer Service, Sales, and Procurement teams by assisting with freight cost calculations and production lead time estimations.

· Release Customising assembly waves in SAP EWM to facilitate efficient order processing and assembly operations.

· Coordinate daily outbound logistics and distribution activities to support smooth warehouse and customer delivery operations.

· Arrange transportation for customer and intercompany shipments by coordinating with freight companies, carriers, and logistics service providers.

· Book export shipments for both customer and intercompany orders, ensuring dispatches are arranged in accordance with agreed delivery timelines.

· Monitor shipment schedules and delivery deadlines, escalating potential delays or issues to the L/C Manager when necessary.

· Prepare, review, and verify shipping documentation for domestic and international shipments, ensuring accuracy and compliance with internal procedures and regulatory requirements.

· Maintain accurate shipping records and logistics documentation within SAP, ensuring full traceability of shipments and transactions.

· Release intercompany orders in accordance with established internal processes and ensure alignment with delivery schedules.

· Manage and process customer returns, ensuring appropriate documentation, system transactions, and stock handling procedures are followed.

· Develop and maintain effective working relationships with freight companies and logistics partners to support reliable and efficient logistics services.

· Identify and support continuous improvement initiatives to enhance logistics, planning, and Customising processes, improving operational efficiency and service levels.

· Perform occasionally moderate lifting when required during operational activities and carry out other duties as assigned by the supervisor.

· Provide occasional support to Customer Service by assisting with order processing and responding to customer enquiries via email and phone during periods of high volume or operational demand.

4. REQUIREMENTS

· Educational Requirements:

Ø Diploma or above in Business Management / Logistics / Supply Chain related qualification

· Working Experiences:

Ø Experience in logistics, supply chain planning, warehouse operations, or production planning

Ø Experience using ERP/WMS systems such as SAP S4/Hana and EWM

· Special Requirements:

Ø Ability to coordinate cross-functional teams (sales, customer service, procurement, warehouse)

· Personal Requirements:

Ø Strong organisational and time management skills

Ø Ability to work in a fast-paced operational environment

Ø Good communication and teamwork skills

Ø Proactive and solution-oriented mindset
