Administration Assistant - Full Time

Service Administrator (Administration & Office Support)

Full Time Role

We are a well-established WA Commercial Air Conditioning HVAC business looking for a person to take up the position of Administrative Assistant.

The position plays an important role in supporting our management team in day-to-day operations.

You will assist our Service Manager, liaise with customers, suppliers and field staff as well as giving support to our Sales & Project Managers.

The role includes but not limited to:

Answering phones, handling enquiries and creating jobs
Preparing service reports, quotes and invoices
Ordering parts and preparing jobs
Scheduling jobs
Support to Sales & Project Managers (tasks include, preparing project handovers, placing orders, setting up project jobs and other admin duties as required)
General administration and customer service (tasks include, stock orders, receiving deliveries and other admin duties as required)
Customer, Supplier and Contractors Data base entry & maintenance
Accounts related tasks including debtor follow up, data entry and filing

About You

Experience in customer service & general administrative duties
Customer service and administrative experience required
Experience in HVAC or construction/trade industry advantageous.
Friendly and confident professional phone manner
Proficient computer skills including Microsoft Excel & Word
Basic Microsoft Excel proficiency required for data entry tasks
Proficient communication skills, both written and verbal
Knowledge of simPRO an advantage but not necessary as on job training will be provided
Pro-active, organised and attention to detail
Uphold integrity of our systems and business values
Excellent work ethic
Positive and energetic attitude
Outgoing and friendly team player

Salary commensurate with experience.
