We are seeking a motivated and experienced Administration Assistant to provide support to the management team in a fast-paced, site-based aviation environment (Monday to Friday).

As an Administrative Assistant, you will support daily operations within the Brisbane Airport office, including coordinating uniforms—this role involves physically collecting and distributing to staff as required. You will also manage team tasks, monitor progress, and handle general office administration such as records, supplies, and supplier coordination. This is a fast-paced, hands-on role where attention to detail and a proactive, “can-do” attitude are essential.

What you’ll do:

Manage uniform coordination for Aviation Protection Officers, including ordering, distribution, and inventory tracking.
Coordinate and allocate daily tasks across the administration team to ensure workloads are balanced and deadlines are met.
Provide day-to-day support, guidance, and direction to administration staff.
Monitor task progress and follow up to ensure timely completion.
Oversee general office administration, including correspondence, documentation, and record management.
Maintain and update administrative processes, procedures, and systems.
Liaise with suppliers to manage orders, deliveries, and resolve discrepancies.
Maintain office inventory, including stationery, equipment, and First Aid supplies, ensuring compliance requirements are met.
Support the planning and coordination of office events, meetings, and staff engagement activities.
Ensure all administrative activities are conducted in line with company policies, confidentiality requirements, and compliance standards

What You’ll Bring:

Strong Microsoft Office skills and excellent written/verbal communication
Proven ability to multitask, prioritise, and meet deadlines
High attention to detail
1-2 years’ experience in a similar customer facing position
Professional presentation with impeccable grooming standards
Strong interpersonal skills and able to build and maintain relationships across all levels of the organisation
