Victoria International Container Terminal (VICT) is Australia’s flagship automated terminal and a cornerstone of the Port of Melbourne. Located at Webb Dock East, VICT provides an essential capacity boost to the Port of Melbourne, supporting continued growth with a throughput capacity of 1.25 million+ TEU. Our strategic position on the bay side of the West Gate Bridge offers a critical advantage: we are the only terminal in Melbourne capable of servicing the newest generation of neo-Panamax vessels, ensuring faster berthing and unrivalled turnaround times for both imports and exports.

Summary of the role:

We are looking for an Executive Assistant to join our dynamic team at the VICT to support the CEO & broader HR team, as well as employees, managers and supervisors across the business. We are looking for an individual who is proactive, highly organised and professional in their approach. The ideal candidate will be able to manage multiple tasks and priorities, maintain confidentiality, and communicate effectively with all levels of the organisation. We are open to candidates who would be interested in either full-time or part-time flexible hours for this role. The position is primarily office-based and is expected to be performed onsite, with occasional working from home arrangements available where operationally appropriate. If you thrive in a fast-paced environment and enjoy balancing executive assistance with HR responsibilities, we'd love to hear from you.

Key Responsibilities:

Provide executive assistance to the CEO and CHRO as required to assist in the achievement of business objectives.
Assist in daily management of diary, email, meetings & reservations for the CEO.
Liaise with external stakeholders across different time zones.
Manage all aspects of travel incl international and national for the CEO and SLT team.
Working collaboratively with the Human Resources team, providing high level administration and support as well as onboarding of new starters.
Manage company internal events such as annual and quarterly events and onsite BBQs etc
Office management such as ordering supplies and liaising with office vendors.
Processes requests in accordance with the delegation of authority. Tracks, monitors and records the appropriate process.
Assist exec management team in general admin duties as required
General hand – Tasks may include receiving deliveries, collecting guests from security hut to bring to main building, maintaining office stationery, answering and directing switchboard calls, printing / photocopying / scanning / data entry etc.
Catering requests, set-up and set-down of meeting rooms
