What this opportunity involves:
This role will be responsible for systems administration of a maintenance management system, reporting, and facilities support for a distributed portfolio. Primary duties will include working with the Facility Management team to handle routine facility related operations, including creating, managing, and verifying work orders, managing and clearing work order flags, and proficient management / coordination of and with maintenance technicians and 3rd party providers.
Duties include but are not limited to:
Manage all outsourced service contracts, including inspections and quality management of service delivery.
Undertake comprehensive tendering procedures for all outsourced services.
Serve as the single point of management control for FM, including engineering and soft services at the site.
Ensure compliance with client policies and procedures.
Ensure compliance with JLL-client FM Operations Manual procedures.
Ensure compliance with contractual SLAs to meet KPI targets.
Ensure compliance with all applicable government regulations.
Act as the interface with client representatives and BMO.
Assist with the implementation of the preventive maintenance program.
Manage small projects, including MAC works, and liaise with the project team on large-scale projects to ensure seamless FM operations.
Carry out periodic FM inspections.
Ensure defects are identified, captured through the Help Desk, and actioned within agreed service levels.
Coordinate FM team self-performed works and vendor works on site.
Monitor the quality of works or goods received, liaising with RET, the site engineer, or technician as necessary, and reconcile works or goods received against POs where required.
Manage financial activities, including budget forecasting, billing, vendor payments, and budget management.
Respond to emergency incidents in accordance with Emergency Response Procedures.
Ensure the effective completion of all incident reports.
Support the compilation and delivery of appropriate weekly, monthly, quarterly, and annual reports to the client.
Chair local FM operations meetings and attend regional FM operations meetings.
Chair monthly vendor meetings.
Manage and update local issue and project trackers.
Ensure compliance with Jones Lang LaSalle minimum audit standards.
Manage end-user expectations.
Proactively identify and investigate potential cost-saving or value-added opportunities.
Liaise with the Regional Account Director, Regional Facilities Manager, and JLL local team for additional support, including HR, administration, project management, and benchmarking.
Act as delegate for the client’s FM stakeholder when required in their absence.
Sounds like you? We are looking for someone:
University degree, preferably in FM, BSE, or CRE.
3-5 years of FM or BSE experience.
Strong interpersonal, decision-making, and people management skills.
Strong verbal and written communication skills.
Fluent spoken and written English.
IT literate.
