We're seeking an experienced Executive Assistant & Office Manager to provide high-level support to our Chief Operating Officer while leading the day-to-day operations of our Melbourne Corporate Office. Acting as a trusted partner to the COO, you'll play a key role in coordinating priorities, supporting decision making and ensuring the smooth delivery of executive and business activities. Working across a broad stakeholder network, you'll bring exceptional organisation, sound judgement and a proactive approach to a fast-paced and dynamic environment. As part of our Executive Assistant team, you'll also contribute to a collaborative culture that supports the success of leaders and teams across the business.
As an Executive Assistant & Office Manager in the ASPAC team, you’ll make a positive impact by:

Providing high-level executive support, including calendar, inbox, travel and expense management for the COO.

Coordinating executive reporting, presentations, governance documentation and business communications.

Managing stakeholder engagement activities and facilitating key meetings with internal and external partners.

Overseeing office operations, facilities, procurement and contractor management for the Melbourne Corporate Office.

Supporting onboarding, offboarding, events and business initiatives while collaborating with the wider Executive Assistant team.

Managing multiple priorities while maintaining confidentiality, professionalism and exceptional service standards.

Significant experience as an Executive Assistant supporting senior executives or C-suite leaders.

Strong experience managing executive priorities within a complex corporate environment.

Demonstrated experience preparing reports, presentations, board papers or executive-level documentation.

Exceptional organisational, planning and stakeholder management skills.

Advanced Microsoft Office capabilities, particularly Word, PowerPoint and Excel.

A proactive, solutions-focused approach with strong emotional intelligence and the ability to manage confidential matters with discretion.
You are a highly organised professional who thrives on anticipating needs, building trusted relationships and creating structure in complex environments. You bring a strong sense of ownership, excellent attention to detail and enjoy working collaboratively with others to achieve shared outcomes.
