An exciting opportunity has become available for an experienced Executive Assistant with strong Chief of Staff capability to support a senior executive of a leading production company.
You will be working alongside our Chief Operating Officer across her portfolio of Commercial Partnerships and Licensing, Consumer Products, Brand Partnerships, Marketing, Operations and Finance.
This is a role where no two days will look the same, adapting your priorities to support the COO’s needs, maximising her time and ensuring nothing falls through the cracks. The role will be switching context often, operating in the detail to drive projects forwards but also assisting with strategic decisions to build the business.
This is a fast-paced and varied role with exposure across multiple core functions and global regions. This is far more than traditional Executive Assistant support; alongside core administrative tasks you will be able to contribute to commercial thinking with the ability to take ownership of priorities and projects.
We’re looking for an experienced Executive Assistant who thrives in a fast-paced environment, working across multiple core functions. You are resourceful, are a quick learner and pride yourself in having an extreme attention to detail. You can be trusted with, and act upon, confidential and sensitive information with the highest level of probity.
You are direct and candid, asking the right questions and providing feedback. You are great at prioritising and managing your time to deliver tasks across multiple projects.
You are comfortable working with, and building relationships with, all levels of stakeholders and have experience drafting communication on behalf of executives, communicating with external clients with professionalism and friendliness.
Executive support: Support the COO on projects and tasks across all owned functions (commercial partnerships and licensing, consumer products, marketing, brand partnerships, finance, operations and HR) ensuring the COO’s time is maximised and nothing falls through the cracks. On occasion, handle personal tasks and errands for the COO.
Communication and task management: Manage the COO’s inboxes, notifications and messages, calendars, priorities, follow-up actions and admin across multiple platforms. Monitor company inboxes, ensuring enquiries reach the right stakeholders or are responded to promptly
Travel logistics: Coordinate domestic and international travel visits and appearances
Meeting and document preparation: Prepare the COO for key meetings, presentations and stakeholder engagements. Draft communications and prepare materials for internal and external stakeholders
Client management: Communicate with clients and coordinate campaign tasks and timelines to ensure successful delivery of brand partnerships or other projects
Project management: Drive established projects forward, following stakeholders up on tasks, sharing communication and raising or resolving blockers as they arise
Stakeholder management: Communicate on behalf of the COO, clearly distilling complex information and representing the COO’s thinking clearly and accurately. Build strong relationships across the business.
Event coordination: Coordinate leadership meetings, town halls and off-sites
Integrity: Manage sensitive and confidential information with the highest level of discretion
3+ years of experience as an Executive Assistant, Project Manager or other relevant administrative role
Excellent attention to detail and resourcefulness
Strong written and verbal communication
Ability to manage priorities, tasks, calendars and deadlines
Proven experience building strong relationships with different levels of stakeholders
Experience working across documentation, project management, desktop research and scheduling
