About the Role
We are seeking an enthusiastic Receptionist/Client Relationship Team Member to join our friendly and dynamic team. As the first point of contact, you will be the welcoming face and voice guiding clients through their journey with us. Your ability to blend client care with operational efficiency will be key in maintaining the smooth running of our practice. Key Responsibilities:
- Client Experience: Greet clients warmly and create a compassionate, safe space for all. Ensure every client feels heard, valued, and respected throughout their visit.
- Clinic Operations: Efficiently manage the scheduling of multiple clinicians, ensuring a smooth, organized workflow. Coordinate internal communications and maintain an organized clinic space.
- Client Engagement: Stay informed about our services and work closely with our psychologists to provide clients with the best possible experience. Assist in keeping our clients and referrers engaged with up-to-date information.
- Confidentiality & Compliance: Ensure that all client records are maintained accurately and confidentially, in line with Medicare, NDIS, and healthcare regulations.
- Problem Solving & Efficiency: Confidently handle inquiries and resolve any issues with professionalism and sensitivity, supporting our neurodiverse and culturally diverse clients.
What You Bring to the Role:
- Experience Matters: At least 2 years in a similar client-facing or administrative role, with healthcare experience being a bonus.
- Tech-Savvy: Strong proficiency in Microsoft 365, with the ability to quickly learn new systems (experience with Halaxy or similar is highly regarded).
- Organizational Skills: You are detail-oriented and can manage multiple priorities with ease. Are a quick thinker, have excellent problem solving skills and remain calm under pressure

- Empathy & Inclusivity: A deep understanding of the importance of creating a welcoming, supportive environment for neurodiverse and culturally diverse clients.
- Communication Skills: You are an excellent communicator with a friendly phone manner and the ability to navigate complex client inquiries.
