As our firm continues to grow, we are seeking a highly organised, proactive and professional Office Administrator & Personal Assistant to support the daily operations of the office and provide executive assistance to the Principal Lawyer.
Role Description
This is a full-time, on-site position based in Burwood, NSW.
The Office Administrator & Personal Assistant plays a key role in ensuring the efficient operation of the firm by managing office administration, coordinating schedules, supporting legal staff, and providing executive assistance to the Principal Lawyer. This position requires excellent organisational skills, attention to detail, professionalism, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Office Administration
- Manage day-to-day office operations and ensure the office runs efficiently.
- Answer and direct incoming telephone calls and emails professionally.
- Welcome clients and visitors and provide exceptional customer service.
- Schedule appointments, meetings and conference calls.
- Maintain electronic and physical filing systems.
- Prepare, proofread and format legal correspondence and administrative documents.
- Assist with document scanning, printing, binding and file preparation.
- Maintain office supplies and coordinate orders with suppliers.
- Liaise with couriers, service providers and building management.
- Coordinate office maintenance and equipment servicing.
- Assist with onboarding new staff and maintaining office procedures.
- Support lawyers and migration agents with general administrative tasks.
Personal Assistant Duties
- Manage the Lawyers' and Managers' diary, appointments and travel arrangements.
- Coordinate meetings and prepare agendas where required.
- Monitor emails and assist with prioritising correspondence.
- Follow up outstanding tasks and deadlines.
- Assist with preparing presentations, reports and meeting materials.
- Handle confidential information with discretion and professionalism.
- Assist with event coordination, networking functions and business meetings.
- Support business development activities and special projects as required.
Client & Practice Support
- Maintain accurate client records within the firm's practice management system.
- Assist with preparing engagement documents and client correspondence.
- Monitor document requests and follow up outstanding client information.
- Ensure administrative compliance with firm procedures.
- Provide administrative support for marketing events and seminars when required.
Qualifications & Skills
- Previous experience in office administration, executive assistance or a similar administrative role.
- Excellent organisational and time management skills.
- Strong written and verbal communication skills.
- High attention to detail and accuracy.
- Ability to manage multiple tasks and work under pressure.
- Professional presentation and customer service skills.
- Ability to handle confidential information with discretion.
- Strong problem-solving skills and a proactive attitude.
- Intermediate to advanced Microsoft Office skills (Word, Excel, Outlook and PowerPoint).
- Experience using practice management or CRM software is highly regarded.
- Experience within a legal or professional services environment is advantageous but not essential.
- Fluency in English is required. Mandarin and/or Cantonese language skills are highly regarded.

Pay: From $55,000.00 per year
