About Us

Hitachi Construction Machinery Australia (HCA) is a global brand providing a variety of machinery for the Construction, Mining and Forestry industries.

The Opportunity
Our Forrestdale branch is seeking an experienced and motivated Part-Time Administrative Assistant to join our team on a 12 month fixed term contract. This role is ideal for a personable professional who enjoys a fast-paced environment, with a strong focus on fleet and asset administration.

You’ll provide end-to-end administrative support, liaising with branches and departments across the Western Region, maintaining databases, and working closely with the Administration Manager to resolve issues and improve processes.

Main responsibilities include:

Assisting with the day‑to‑day management of assets.
Maintaining branch registers for Fixed and Physical Assets (Buildings, Land, Furniture & Fittings, IT/Computing, Plant & Machinery) and Personnel Asset Allocations.
Supporting asset purchasing and monitoring the initial registration process.
Ensuring compliance with relevant policies and procedures.
Conducting internal QA assessments and supporting branch audits (internal and external).
Processing Accounts Payable and assisting with supplier account setup as required.
Reconciling databases and preparing reports as needed.
Providing reception coverage during breaks and leave.
Delivering administrative support for Fleet, Accounts Receivable, and Building Maintenance (as required).
Performing ad‑hoc branch administrative duties as required.

To be successful you will need:

Available to work three 7.5‑hour days per week, preferably Monday–Wednesday or Wednesday–Friday.
Demonstrated extensive experience in an administration role, assets and fleet control desirable.
Dynamics 365 experience is preferred but not essential.
Good understanding / Knowledge of accounting concepts.
Demonstrated Intermediate to Advanced MS Office experience, including Word and Excel.
A positive attitude and the ability to take initiative and work as part of a small team.
Both a high attention to detail and accuracy is essential.
Excellent written and oral communication skills, organisation, multi-tasking and coordinating tasks with other groups both internal and external are required.
