Reporting to the Superintendent Facilities and Mobilisation, this role will be responsible for leading, coordinating, and supporting all site services administration functions, including Site & Shutdown Mobilisation, Operations Administration and Mining Administration. This role provides strategic oversight of daily tasks, system integrity, compliance, workforce onboarding, transport logistics, vendor management, and continuous improvement initiatives. Working closely with internal stakeholders, contractors, and leadership, the Administration & Mobilisation Supervisor ensures high‑quality service delivery, accurate data management, and consistent adherence to company procedures across all administrative functions.
This is a permanent full-time role which operates on a 8:6,4:3 FIFO roster from Perth or DIDO in the Pilbara region.
Leadership & Team Management
- Effectively lead and manage the Site & Shutdown Mobilisation, Operations and Mining, and Site Travel Administration teams.
- Lead and manage Senior Mobilisation Coordinators and Senior Operations Administrators, providing coaching, guidance, and performance support.
- Conduct training for Senior Mobilisation Coordinators and Senior Operations Administrators to ensure capability, consistency, and adherence to processes.
- Coach and mentor all site services administration functions, focusing on attention to detail, process understanding, accuracy, and productivity.
- Manage cross‑training within all administration functions to enhance flexibility, capability, and operational resilience.
- Manage coverage across all site services administration areas to ensure continuity of service.
System Management, Integrity & Compliance
- Manage and uphold system integrity and accuracy across all administrative systems.
- Complete regular reporting on system integrity, site compliance, and payroll‑related functions.
- Conduct system data audits and execute follow‑up actions to address discrepancies or gaps.
- Manage onboarding processes, competency verification, and site orientations within the site services administration department.
- Ensure internal processes are consistently followed and adhered to across all functional areas.
Operations Support & Continuous Improvement
- Assist all site services administration teams with day‑to‑day operations as required.
- Manage business improvement projects and system enhancement initiatives.
- Oversee service improvement initiatives across all administration functions.
- Provide administrative support to the camp administration team, including training and PLS procedure management.
- Conduct training sessions with internal stakeholders and contractor administrators as required.
Transport & Mobilisation Oversight
- Manage transport logistics including flights, bus transport, and vehicles, ensuring timely and accurate coordination.
- Oversee mobilisation processes, including managing specific seat and room allocation requests.
- Support shutdown mobilisation and site‑wide travel coordination through senior administrators and direct management oversight.
- Current C class driver’s license.
- High efficiency using the full Microsoft Office suite
- Minimum of 3 years of INX experience specifically within the InFlight and +Process applications.
- Minimum of 5 years’ experience within a site mobilisation role.
