This role provides diverse administrative support across the Marketing and Supply Chain & Global Technology functions. Responsible for maintaining a variety of department programs, processes, projects, and databases that require ongoing assistance. The role requires a unique split of time between the Sydney office and the Villawood Manufacturing facility (one day per week at Villawood).

Key Responsibilities

Trade Engagement: Coordinates and supports logistics for trade engagement activities and marketing conferences.
Conference Logistics: Co-leads the planning and execution of logistics for Australia Commercial Conference.
Procurement & Budgeting: Creates purchase orders, sets up new vendors in Ariba, and reconciles invoice discrepancies. Follows up with external vendors as needed; Subject matter expert and first point of contact for Ariba (internal system for purchasing and invoice processing)
Project Coordination: Manages multiple projects and events as needed by the Marketing and Manufacturing leadership teams.
Document Management: Creates and edits presentations and manages departmental records and inventory.
Schedule & Travel: Proactively tracks calendars for one or more individuals and coordinates travel bookings
Villawood Site-Specific Support: Provides administrative presence at the Villawood manufacturing site and responsible for raising purchase orders and invoice payments for Supply Chain functions
Workflow Initiatives: Takes initiative to simplify systems and processes to eliminate unnecessary work.
General Administration/Other: Performs office tasks, such as maintaining records, ordering supplies, booking catering., etc. Provides backup support for other administrative assistants and the reception desk as required. May supports other office initiatives as needed, like learning administration.
Other reasonable duties as requested, in line with skills and experience.

Qualifications

Experience: 2–5 years of administrative experience required, preferably in related functions.
Education: Higher school certificate or equivalent

Preferred Qualifications:

Education: Associates or Bachelor’s Degree in a related field preferred.

Technical Skills: Strong proficiency in Google Collaboration Tools, Concur, Ariba a plus
Mobility: Ability to travel locally between Sydney and Villawood sites as required.
Ability to pivot and multi-task across multiple group needs and requests
Willingness to learn new skills, new ways of working, taking feedback and learning new systems
Creates and uses informal networks to gain support and get things done
Balances workload of department including anticipating and facilitating resolution of conflict
