About the Department / Program
Casey Hospital (Berwick) and Dandenong Hospital deliver a comprehensive range of maternity, birthing, postnatal and gynaecology services, supported by an integrated network that includes Monash Medical Centre. Following service enhancements introduced in 2026, Casey Hospital has expanded its capacity to support growing demand for higher-acuity maternity and newborn care within the region, while Dandenong Hospital continues to provide high-quality care for women with low to medium-risk pregnancies and a broad range of women’s health services. Together, these sites offer patient-centred, evidence-based care within a diverse and inclusive community, supported by multidisciplinary teams committed to clinical excellence, innovation and exceptional outcomes for women, babies and families.
About the Role
This is an exciting opportunity for a highly organised and proactive administrator to provide executive and operational support to the Service Medical Director and Operations Manager, Women’s Casey and Dandenong, as well as the Quality team within the Women’s and Newborn Program. Working in a fast-paced healthcare environment, you will play a pivotal role in ensuring the smooth day-to-day coordination of key administrative functions while supporting senior leaders and key service initiatives. This is a full-time ongoing position from Monday to Friday, working between Casey and Dandenong Hospitals.
Key responsibilities include:
Providing high-quality customer service and administrative support to internal and external stakeholders.
Managing complex and changing diaries for the Service Medical Director and Operations Manager, Women’s Casey and Dandenong.
Coordinating meetings and committees, including venue bookings, scheduling, agenda preparation and minute taking as required.
Preparing presentations, reports, briefing papers, correspondence and other documentation.
Supporting efficient office management and administrative processes, including electronic task management and meeting preparation.
Maintaining a high level of accuracy, attention to detail and confidentiality across all administrative activities.
Proactively managing competing priorities and adapting to changing business needs and schedules.
Liaising professionally and sensitively with consumers, clinicians, senior leaders and external partners.
Supporting quality improvement and service initiatives across the Women’s and Newborn Program.
About You
To be successful in this healthcare role, you will bring the following demonstrated skills, experience, and attributes:
Highly developed skills in M365 application suite, with a particular focus in Excel, along with Word, Teams, PowerPoint, SharePoint, Outlook and a high level of technology/system literacy
Demonstrated experience using iPM, EMR, UKG, eHub and SMR (desirable)
Highly developed customer service skills – excellent self-presentation, organised and strong interpersonal skills
Ability to manage multiple tasks concurrently and work comfortably in a fast-paced environment to meet deadlines
Ability to manage and resolve challenging issues, including conflict, in a professional manner
Excellent verbal and written communication skills, with an ability to adapt communication style for a range of audiences and purposes
Previous experience within a healthcare environment (desirable)
