Context:

As the Newcastle Office Manager, you will be the heartbeat of our local office. You will manage daily operations, maintain a welcoming environment for clients and visitors, and provide critical administrative and financial support to our technical project teams.

Missions/Main Duties:

Key Responsibilities:

Manage day-to-day office operations and act as the primary on-site point of contact for clients, suppliers, and visitors.
Assist engineers and project teams with general administration, document control, project reports, and compliance records.
Support invoicing, purchase order processing, timesheet workflows, and local office budget tracking.
Oversee relationships with office vendors, service providers, and manage inventory and supplies.
Coordinate internal and external meetings, travel arrangements, and team events.

Profile/Skills:

What You’ll Bring to the Team

Background in office management, executive assistance, or business support—ideally within engineering, construction, consulting, or professional services environments.
Practical experience handling financial administration tasks such as invoicing, purchase orders, or timesheets.
Proficiency in the Microsoft 365 suite (Outlook, Teams, Word, Excel, PowerPoint).
Exceptional interpersonal skills with the confidence to build strong relationships with clients, visitors, and internal teams.
Excellent organisational and multitasking abilities, with a proven track record of prioritizing competing deadlines independently.
