About the Role

The Business Support Coordinator provides broad business, administrative and people support to the Rockhampton Aviation Maintenance facility. Reporting to the General Manager – Rockhampton Aviation Maintenance, the role provides executive support to the General Manager and coordinates key site administration activities, including travel and accommodation, visitor coordination, meeting support, internal communications, purchase orders, invoices and general administrative support across the site. The position also supports recruitment administration, onboarding, HR and payroll liaison, contractor onboarding, safety and compliance administration, and general business projects. Acting as a central point of coordination between the Rockhampton facility and corporate support functions, the role helps ensure the site operates efficiently, employees and visitors are well supported, and business processes are delivered consistently and professionally.

Key Responsibilities

Lead the day-to-day business administration function for the Rockhampton Aviation Maintenance site, ensuring administrative processes, records and workflows are efficient, accurate and consistently maintained.
Provide executive support to the General Manager, including diary support, correspondence, meeting coordination, preparation of agendas, minute taking, presentations, reporting and follow-up actions.
Provide administrative support across the site, including coordination of site administration activities, internal communications, records management and general business support requirements.
Coordinate travel, accommodation, site events, visitor coordination and other logistical requirements to support operational continuity.
Submit purchase orders, invoices and expenses for approval, and support budget tracking in consultation with Finance and the General Manager.
Act as a central point of coordination between the Rockhampton site and corporate functions, including Human Resources, Payroll, Finance, IT and other shared services.
Coordinate local people administration, including recruitment administration, new starter coordination, onboarding activities, probation tracking and employee record updates.
Support managers and employees with general people-related processes by acting as the local conduit to Human Resources, while ensuring HR matters are escalated appropriately.
Coordinate payroll-related administration, including timesheet support, leave administration and liaison with Payroll as required.
Promote a safe workplace by supporting local safety processes, site communications and the timely escalation of hazards, incidents and facility-related risks.
Assist with the coordination of compliance activities, audits, records and documentation relevant to site operations.
Coordinate contractor onboarding administration, including onboarding documentation, site access requirements, compliance records and ongoing record maintenance.

Who are we looking for?

To be successful in this role, you will bring:

Certificate IV in Business Administration, Business Management or a related discipline, or equivalent experience.
Demonstrated experience in administration, operations coordination or business support roles.
Experience supervising support staff, contractors and service providers.
Experience working in aviation, engineering, maintenance or industrial environments is desirable.
Highly organised, with strong attention to detail.
Excellent stakeholder management and communication skills.
Strong problem-solving and decision-making capability.
Ability to manage multiple priorities and work autonomously.
Strong Microsoft Office skills and the ability to work confidently with business systems.
