What this opportunity involves:
Proactively support the Operations Manager to ensure the centre is operating to a high level reflective of a premium CBD asset. Ensure programmed/ad-hoc maintenance is being performed with minimal disruption to the tenants and customers.
To be responsible for the risk management, audits, contractor management, and administrative duties relating to the facilities management of the property, to the levels required by the Client, JLL and Legislation.
The priorities at all times should be:

The health, safety and security of all visitors and occupants

The presentation, upkeep and operational performance of the property
-
The implementation of client strategies, including delivery against the client’s Environmental, Social and Governance goals.
An overview of the role:
-
Risk Management – ensure all JLL & client risk management reporting requirements are met, accurately and within required timeframes. Investigate and report on accidents and incidents at the property and carry out remedial work to prevent similar occurrences. Be alert to any preventable action, incident or equipment failure that may contribute to public accident and take action to remedy as soon as possible.

Inductions – ensure that all contractors and staff are inducted and receive up-to-date site specific training. Contractors entering the sites must provide a risk management plan and a safe work method statement before commencing work. All contractors’ details and insurances must be kept up to date in CM3.

Workplace Health and Safety Legislation – ensure that all operations and maintenance conform to the Building Code of Australia and other relevant statutory accountabilities.

Contracts – ensure all contracts are to be effectively managed with KPI’s documented and tracked as applicable.

Supervise the Security contractor and ensure that the retail precinct is a safe environment for customers, contractors and staff. Be aware of unacceptable behaviour by persons in the centre, and work to reduce incidents of such.

Monitoring of property keys – ensure all key management protocols are adhered to, including sign in/sign out procedures using the SINE system. Ensure the key register is always up to date and pro-actively follow up missing keys

Supervise cleaning staff to maintain the required standards of safety and presentation. This includes regular inspections of all areas, and weekly documented inspections with the contractor representative.

Ensure all contractors satisfy the insurance requirements as required under the work order or contract. Ensure all work conforms to Work Safe procedures and other relevant legislation, including property house rules. Conduct monthly meetings with the key service providers, with minutes taken and actions followed through.

Maintenance – ensure that the properties’ various systems, plant and equipment, surface finishes, structure and surrounds are correctly serviced to the manufacturer’s specifications, and/or maintained and repaired to the required standard. Ensure that contractors have all documentation required (work orders/ contracts) to complete works. Work orders are to be closed out in a timely manner, and all coding of work orders must be accurate.

Preventative Maintenance – monitor the issuing and close out of PPM tasks on Evolution to ensure contract compliance.

Procurement – actively assist with quoting and ensure quotes are obtained for all ad-hoc works. All goods and services must be procured within budget, and in compliance with the Limits of Authority in the Management Agreement.

Budgets / Business Plans - actively contribute to the budgeting and business planning process for each property.

After Hours Call Out – there may be instances where you might be reasonably required to be on call, outside of business hours.

Customer Service – address relevant customer complaints promptly and effectively. Liaise with retailers and centre management in providing guidance and support with health and safety issues.

Training & Conferences – Attend all meetings, training seminars and conferences as required.

IT –Demonstrate intermediate skill level of Excel, Word, Outlook, Internet, other MS office programs and smartphone/app use.
