Full Job Description

We are seeking an experienced, highly motivated, positive and professional Administration Officer to join our award-winning team.

As a key member of our support team, you will play an important role in assisting our legal team with client service and communication, file management, billing and a range of administrative responsibilities that contribute directly to the continued success of the firm.

Key Responsibilities

Manage client and third-party interactions with a high level of professionalism, empathy and efficiency, ensuring communications are handled promptly and effectively.
Handle confidential information safely and appropriately, maintaining a high level of client privacy at all times.
Assist with the billing process, including costing matters and preparing client invoices.
Perform a range of essential administrative duties, including scheduling appointments, managing calendars, taking meeting notes and handling phone calls.
Maintain excellent file management practices and ensure compliance with firm procedures and policies.
Assist with the creation of marketing materials, including brochures, blogs and social media content.
Help maintain a welcoming, organised office environment, including monitoring and maintaining office and kitchen supplies.
Provide administrative support to the team and contribute to firm-wide projects and initiatives.
Provide administrative and paralegal support to legal team members where required.

About You

We are looking for an experienced administrative professional who:

Has proven administrative and customer or client service experience, preferably within a law firm or similar professional environment.
Can balance professionalism and empathy when supporting clients during what can be a turbulent and emotionally sensitive period in their lives.
Is a calm, confident and clear written and verbal communicator.
Is available to work a minimum of 30 fixed hours per week, ideally spread over three to four days.
Is proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, Teams and Outlook.
Has experience with accounting or practice management systems such as MYOB, Xero, LEAP or Smokeball (preferred, but not essential).
Is approachable, highly organised and attentive to detail, with the ability to work autonomously, take initiative and take ownership of administrative processes.
Can manage multiple tasks and competing priorities while remaining flexible and responsive to the needs of the team.
Is proactive and adaptable, with a genuine desire to contribute to the success and growth of the firm.
