We are seeking an experienced, highly motivated, positive and professional Administration Officer to join our award-winning team.
As a key member of our support team, you will play an important role in assisting our legal team with client service and communication, file management, billing and a range of administrative responsibilities that contribute directly to the continued success of the firm.
Key Responsibilities
- Manage client and third-party interactions with a high level of professionalism, empathy and efficiency, ensuring communications are handled promptly and effectively.
- Handle confidential information safely and appropriately, maintaining a high level of client privacy at all times.
- Assist with the billing process, including costing matters and preparing client invoices.
- Perform a range of essential administrative duties, including scheduling appointments, managing calendars, taking meeting notes and handling phone calls.
- Maintain excellent file management practices and ensure compliance with firm procedures and policies.
- Assist with the creation of marketing materials, including brochures, blogs and social media content.
- Help maintain a welcoming, organised office environment, including monitoring and maintaining office and kitchen supplies.
- Provide administrative support to the team and contribute to firm-wide projects and initiatives.
- Provide administrative and paralegal support to legal team members where required.
About You
We are looking for an experienced administrative professional who:
- Has proven administrative and customer or client service experience, preferably within a law firm or similar professional environment.
- Can balance professionalism and empathy when supporting clients during what can be a turbulent and emotionally sensitive period in their lives.
- Is a calm, confident and clear written and verbal communicator.
- Is available to work a minimum of 30 fixed hours per week, ideally spread over three to four days.
- Is proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, Teams and Outlook.
- Has experience with accounting or practice management systems such as MYOB, Xero, LEAP or Smokeball (preferred, but not essential).
- Is approachable, highly organised and attentive to detail, with the ability to work autonomously, take initiative and take ownership of administrative processes.
- Can manage multiple tasks and competing priorities while remaining flexible and responsive to the needs of the team.
- Is proactive and adaptable, with a genuine desire to contribute to the success and growth of the firm.
